This position is responsible for providing professional administrative support, managing incoming communications, maintaining office organization, and assisting with various clerical duties to ensure the efficient operation of the agency. Qualifications Must be at least 18 years of age. High School Diploma or GED required. Demonstrated telephone etiquette and customer service skills. Ability to operate standard office equipment, including multi-line telephone systems, copiers, scanners, fax machines, and printers. Computer literate with proficiency in typing, Microsoft Office applications, email, and general office software. Strong organizational and time-management skills. Ability to maintain confidentiality and professionalism at all times. Bilingual English/Spanish preferred; ability to communicate, comprehend, and translate Spanish when necessary. Responsibilities and Duties Answer incoming telephone calls promptly, courteously, and professionally. Screen, route, and document telephone messages accurately and timely. Greet and assist visitors, clients, and vendors in a professional and welcoming manner. Maintain the reception area and common office areas in an organized and presentable condition. Assist with administrative and clerical tasks, including but not limited to: Assembling admission and clinical packets (AOs, SOCs, Annuals, and other agency documents). Preparing and distributing birthday cards. Assisting with payday preparation and related office tasks. Faxing, filing, and maintaining Form 211s and other agency documentation. Filing and maintaining client satisfaction surveys. Scanning, copying, and organizing agency records. Assist departments with document preparation, data entry, filing, and other clerical support as assigned. Monitor office supplies and notify administration when replenishment is needed. Maintain accurate records and ensure documents are filed according to agency procedures. Protect the confidentiality of client, employee, and agency information. Represent the agency in a professional manner at all times. Adhere to all agency policies, procedures, and regulatory requirements. Work collaboratively with all departments to promote a positive and productive work environment. Accept constructive feedback, suggestions, and recommendations for performance improvement. Perform additional duties and special projects assigned by administration or department supervisors. Professional Relations Maintain a professional attitude through cooperation, respect, courtesy, and helpfulness toward clients, physicians, visitors, co-workers, and supervisors. Demonstrate excellent customer service and interpersonal skills in all interactions. Accept guidance and direction from supervisors and implement recommended changes positively. Communicate effectively using a professional tone of voice and respectful communication practices. Maintain composure, professionalism, and sound judgment during stressful situations. Foster teamwork and contribute to a positive workplace culture. Working Conditions and Requirements Ability to read, write, speak, and comprehend English. Ability to communicate, comprehend, and translate Spanish when necessary. Must be highly organized, dependable, responsible, and detail-oriented. Excellent verbal and written communication skills required. Ability to sit, stand, walk, bend, and perform routine office activities throughout the workday. Ability to lift and carry office materials and supplies up to 20 pounds on an occasional basis. Ability to work in a fast-paced office environment while managing multiple tasks and priorities.
