Job Description

Our front desk receptionists / Reservation Specialists are Gruene Gables Pet Resort's face to the clients. This crucial role is responsible for handling all check-ins, check-outs, scheduling appointments and taking payments. This role also includes handling phone calls and inquiries from clients and prospective clients, responding to emails, coordinating and maintaining lodging, daycare, and grooming schedules, scheduling evaluations, and managing the waitlist. The Front Desk Receptionist is responsible for exhibiting a positive, professional, and enthusiastic image at all times to customers, co-workers and pets at Gruene Gables. They are also responsible for ensuring unparalleled care and attention for both pets and their owners. • Starting pay is based on experience and qualifications. •Alternating weekend availability required. To perform this job successfully, an individual must be able to perform the following essential functions fully and properly: Check in and check out all pets for lodging, daycare, and grooming Answer phone calls and emails, make reservations, and confirm reservations and appointments Ensure quality care for each pet through attention to detail in pet's needs (medications, allergies, special instructions, stress or behavioral concerns, etc.) Keeping the reception area, retail area, and public restroom clean and well stocked Coordinate and perform any duties related to veterinary care, such as vaccination status updates, illness or injury updates, etc. Assist in other daily operations as needed, such as cleaning, feeding, medications, walking pets, etc. when short-staffed Deliver facility tours upon request using provided verbiage and tour path For inbound calls, an individual must be able to: Professionally and enthusiastically answer inbound calls Consistently read and deliver our provided sales scripts and objection responses Create a complete client profile for first time callers for all services before providing pricing and availability Positively promote all services provided, including pet activity packages, grooming, bathing, and training Exceed minimum performance benchmarks including new customer conversion activity sales and grooming / bathing add-ons For outbound calls, an individual must be able to complete the following upon request by management: Confirmation calls Vaccination verification calls Event follow-up calls Call on all unclosed leads for all departments
Education:
Equivalent to high school graduate or
GED Experience:
Previous experience in a sales or customer service role preferred Exceptional people and communications skills Strong attention to detail and organizational skills Develop a strong knowledge of Gruene Gables Pet Resort's policies, procedures and operations Able to multi-task and work well under pressure while maintaining composure Ability to articulate well while discussing issues with clients Physically able to perform a pet care technician's duties Effective record-keeping Good team skills; willing to assist other departments as needed
Computer Skills:
Good computer skills and familiar with standard computer software and eventual mastery of Pet Resort Pro Ability to multitask by entering existing, new and potential customer information into computer system while on the phone Enter accurate and complete sales data into OPC Admin Suite and other tracking sheets as requested by management
