Job Description

Job Overview We are seeking a professional and personable Front Desk Receptionist to serve as the first point of contact for our organization. The ideal candidate will possess excellent communication skills, a welcoming demeanor, and strong organizational abilities. This role involves managing front desk operations, providing exceptional customer service, and supporting administrative functions to ensure smooth daily operations. The successful applicant will demonstrate proficiency with office management tools, multi-line phone systems, and have experience in clerical and customer support roles. Duties Greet visitors and clients warmly, ensuring a positive first impression of the organization. Manage multi-line phone systems efficiently, directing calls and taking accurate messages as needed. Handle incoming correspondence, including emails, mail, and packages, with attention to detail. Maintain organized filing systems and perform data entry tasks using Microsoft Office and Google Workspace applications. Support office management activities such as scheduling appointments, calendar management, and coordinating meetings. Assist with basic bookkeeping tasks using QuickBooks or similar accounting software. Provide administrative support including proofreading documents, managing office supplies, and maintaining cleanliness of the reception area. Demonstrate excellent phone etiquette and customer service skills to support visitors, clients, and staff effectively. Qualifications Prior experience in office management or administrative support roles is required, preferably with clerical experience in a professional setting. Proficiency with computer literacy including Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools. Strong organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment. Excellent communication skills—bilingual abilities are a plus—to serve diverse clients effectively. Experience handling multi-line phone systems and providing outstanding customer service is essential. Knowledge of basic bookkeeping practices using QuickBooks or similar software is advantageous. Previous experience as a dental or medical receptionist or personal assistant is desirable but not mandatory.
