The ideal candidate will serve as the first point of contact for clients and visitors, providing exceptional customer service and administrative support. This role requires excellent communication skills, proficiency with office management tools, and the ability to handle multiple tasks efficiently in a fast-paced environment. Experience with office management software such as Hilton PEP System, QuickBooks, Microsoft Office, and Google Workspace is highly desirable. Bilingual abilities are a plus to effectively serve a diverse client base. Duties Greet clients, visitors, and callers in a courteous and professional manner Manage multi-line phone systems, direct calls, and take messages accurately Schedule appointments and manage calendar appointments using various software tools Handle data entry, filing, and maintain organized records for easy retrieval Assist with billing, invoicing, and bookkeeping tasks using QuickBooks or similar software Support office management activities including supply ordering and inventory tracking Proofread documents for accuracy and professionalism before distribution Provide customer support by addressing inquiries promptly and professionally Maintain a clean and welcoming reception area at all times Perform clerical duties such as photocopying, scanning, and mailing
MUST BE AVALIABLE TO WORK WEEKENDS AND HOLIDAYS
Qualifications Proven experience in office management, administrative support, or clerical roles Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace (Docs, Sheets, Calendar) Experience with QuickBooks or bookkeeping is preferred Excellent phone etiquette and customer service skills Bilingual abilities are highly desirable to serve diverse clientele effectively Strong organizational skills with the ability to multitask efficiently Attention to detail with proofreading and data entry accuracy Ability to manage time effectively in a busy environment Prior experience in medical or dental reception is a plus but not required Knowledge of office equipment such as multi-line phone systems is preferred This position offers an opportunity to be an integral part of our team by providing outstanding administrative support while developing your professional skills in a dynamic work environment.
