Job Description

The Receptionist will support daily front desk and administrative manufacturing operations. This role is responsible for greeting visitors, handling employee inquiries, coordinating communications, and ensuring smooth day-to-day front office operations.
Key Responsibilities:
Front Desk & Office Support Greet and assist visitors, vendors, employees, and expatriates professionally Manage incoming calls, emails, mail, and deliveries Maintain lobby, and reception room readiness Support scheduling of conference rooms and meetings Assist with badge coordination and visitor check-in procedures Employee & Visitor Support Provide basic support for employee inquiries and administrative requests Assist expatriates and visitors with directions, transportation coordination, and general site information Coordinate catering, meeting refreshments, and hospitality arrangements as needed Administrative Support Maintain office supply inventory and submit replenishment requests Support data entry, and administrative recordkeeping Assist with preparation of reports, spreadsheets, and presentations Support employee engagement activities and site events Communication & Coordination Coordinate with vendors regarding deliveries and scheduled services Escalate facility or service-related concerns to the Administration Associate or Supervisor Support communication between departments and administrative teams General Support Maintain professionalism and confidentiality in all interactions Perform other administrative duties as assigned
Minimum Qualifications:
High school diploma required; Associate's or Bachelor's degree preferred 1-2 years of receptionist, customer service, or administrative support experience Proficiency in Microsoft 365 (Outlook, Teams, Excel, Word) Strong communication and interpersonal skills Professional appearance and customer-service mindset Ability to multitask in a fast-paced environment Bilingual in English and Spanish required
Physical Requirements:
  • Ability to sit, stand, and walk for extended periods between office, classroom, and production floor environments.
  • Ability to conduct in-person training sessions, including standing for long durations while presenting.
  • Frequent use of computers, presentation tools, and training systems for content development and delivery.
  • Ability to move throughout manufacturing and warehouse areas to observe training effectiveness and support employees.
  • Visual and auditory ability to effectively deliver training, monitor participation, and assess employee comprehension.
  • Ability to lift and handle training materials or equipment (e.
g., laptops, projectors, training kits) as needed.
Work Environment:
  • Combination of office, classroom, and manufacturing/warehouse environments.
  • Frequent interaction with production employees, supervisors, and cross-functional teams.
  • Exposure to active production floor conditions, including noise, movement, and PPE requirements.
  • Fast-paced environment supporting high-volume workforce training and operational demands.
  • Regular coordination with HR, Operations, Quality, and EHS teams.
  • Dynamic setting requires flexibility to adjust training schedules based on production needs and staffing levels.
