Full Job Description Position Summary:
The Front Desk Coordinator is responsible for delivering an exceptional first impression to patients and visitors, managing the check-in and check-out process, coordinating communication and scheduling, and supporting various administrative and marketing functions. Jessica plays a vital role in supporting both clinical and business goals of the office while contributing to patient satisfaction and daily office flow. ________________________________________
Primary Responsibilities:
Patient Interaction & Front Office Operations Greet patients warm upon arrival and check them in efficiently Answer incoming calls and assist with patient inquiries professionally Set up and manage appointments with attention to provider availability and office goals Verify Medicaid insurance (Katy Medicaid only) Collect orthodontic and other patient payments, process transactions accurately Communicate with patients in English and Spanish via Adit (text/email) Confirm Monday appointments for both offices every Thursday Prepare patient files, documents, and required forms Scan all patient paperwork by end of day (ensuring backlog is addressed if missed on prior workday) Maintain cleanliness and organization of the lobby and front desk area Administrative & Operational Duties Maintain a schedule mindful of production goals Make recall cards for patients during check-in as part of recall system Support the office with preparing and distributing patient toothbrushes and giveaways Assist with preparing orthodontic files and coordinating orthodontic payment plans Compose bilingual communication for the practice via Adit as directed Enter and track patient conversions for doctors ________________________________________ Marketing & Outreach Assist with school presentations and marketing outreach efforts in coordination with Sirley Actively ask for and collect Google reviews from patients during in-office interactions ________________________________________
Additional Expectations & Notes :
Completes all tasks assigned reliably and follows through on directives Known to be vocal about compensation when new tasks are added; feedback should be paired with clear role expectations and growth planning Works full time at HEB in a management role, brings multitasking and time management experience Has demonstrated initiative in marketing and review collection, which should be leveraged further ________________________________________ Opportunities for
