Receptionist Status:
Full Time Non-Exempt (FLSA) Reports to: Office Manager Overview The Receptionist serves as the first point of contact for Veterans, families, community partners, donors, volunteers, and visitors. His or her focus is on creating a positive, welcoming experience while supporting the organization's operational efficiency. This role requires the ability to accurately communicate organizational information, guide individuals to appropriate services and resources, maintain awareness of campus programs and partner agencies, and ensure a timely and professional flow of information throughout the organization while ensuring communication, documentation, and operational processes remain organized and effective. Primary Responsibilities Under the supervision of the Office Manager the Receptionist will:- Greet and assist veterans, clients, visitors, volunteers, and community partners in a professional, welcoming, and trauma-informed manner
- Answer incoming phone calls professionally, gather relevant information, assess the nature of the inquiry, and connect callers to the most appropriate staff member, service, or community resource based on identified needs and urgency
- Manage incoming and outgoing mail packages and deliveries
- Maintain a calm and organized reception area environment that reflects CampV's mission and professionalism
- Schedule appointments and manage calendars as needed
- Perform administrative tasks, including filing, scanning, data entry, copying, and document preparation
- Maintain accurate records and assist with organizational documentation and reporting requirements
- Assist with event coordination, campus-wide communications , and internal information sharing.
- Escalate urgent client, facility, or operational concerns appropriately
- Uphold confidentiality, organizational policies, and security protocols at all times.
- Utilize technology and operational systems that improve efficiency and client experience Required Qualifications
- Associate degree with coursework in business administration, communications, human services, nonprofit management, or related field. High School diploma plus two (2) years applicable experience may be substituted.
- Minimum of one (1) year of customer service, receptionist, administrative support, or office experience. Previous experience in a nonprofit, healthcare, education, or social services environment preferred
- Strong organizational skills and a detail-oriented approach; demonstrated initiative and the ability to work under deadline pressure
- Friendly, professional demeanor with a passion for helping others
- Highly effective oral, written, and in-person communication skills with the ability to maintain confidentiality and handle sensitive information appropriately
- Significant workplace experience in Microsoft Office Suite. Additional familiarity with scheduling systems, databases, or client management software preferred
- Proficiency in operating standard office equipment and peripheral devices, including multi-line phone systems, scanners, copiers, printers, fax systems, and digital document management tools
- Demonstrated experience working in a fast-paced environment with multiple priorities while remaining calm and professional during high-volume or emotionally sensitive situations
- Problem solving mindset to include creativity, sound judgment and the ability to work at times with minimal direction.
- Military experience or knowledge preferred
- A valid driver's license and reliable access to transportation
- Occasional lifting of equipment >50 lbs
- Bilingual communication skills (Spanish) are a plus General Staff Expectations CampV is a collegial work-setting.
Pay:
