Job Description

Overview We are seeking a dynamic and friendly Front Desk Receptionist to be the welcoming face of our organization. In this vital role, you will serve as the first point of contact for visitors, clients, and team members, ensuring a positive and professional experience. Your energetic approach and organizational skills will help maintain smooth office operations, manage multi-line phone systems, and support various administrative functions. Duties Greet visitors warmly and professionally, ensuring they feel welcomed and attended to promptly Manage multi-line phone systems with excellent phone etiquette, directing calls efficiently to the appropriate departments or personnel Handle incoming and outgoing correspondence, including emails, mail, and packages with accuracy and timeliness Maintain organized filing systems, perform data entry tasks, and ensure all records are up-to-date using Microsoft Office, Google Workspace, and other office tools Assist with appointment scheduling, calendar management, and reminders for staff or clients as needed Support office management tasks such as inventory tracking, supply ordering, and basic bookkeeping using QuickBooks or similar software Provide customer support by addressing inquiries professionally and courteously in person or over the phone Experience Proven office experience or clerical experience demonstrating strong organizational skills and attention to detail Familiarity with front desk duties including multi-line phone systems and customer service best practices Proficiency in computer literacy including Microsoft Office (Word, Excel), Google Workspace (Gmail, Calendar), data entry, and proofreading skills Bilingual abilities are highly desirable to effectively communicate with diverse clients and team members Experience in medical or dental receptionist roles is a plus but not required; training will be provided for specific industry needs Strong time management skills with the ability to prioritize tasks efficiently in a fast-paced environment Personal assistant experience or office management background is advantageous but not mandatory Join us to be part of a lively team where your organizational talents shine!
