The Opportunity We are looking for a Patient Experience Coordinator who genuinely enjoys helping people and thrives in a fast-paced, service-focused environment. This is more than a traditional front desk position. As the first and last point of contact for our patients, you play a vital role in shaping their experience and helping them feel valued throughout their wellness journey. What You'll DoPatient Experience & Front Desk Operations Welcome patients with professionalism, warmth, and genuine care Create a positive first impression and ensure every patient feels comfortable and supported Manage appointment scheduling, confirmations, and daily patient flow Answer phone calls, emails, and messages promptly and professionally Assist with patient check-in, intake paperwork, and account updates Process payments and support retail purchases, including wellness products and skincare Administrative & Operational Support Maintain an organized, clean, and professional reception area Coordinate effectively with providers and clinical staff to ensure a seamless patient experience Help manage daily schedules and optimize appointment flow Assist with administrative projects and office tasks as needed Maintain confidentiality and professionalism in all patient interactions Team Support Contribute to a positive, collaborative, and growth-oriented workplace culture Support clinic initiatives, events, and patient engagement activities Assist wherever needed to help the team deliver an exceptional experience Who You Are Naturally friendly, welcoming, and service-oriented Highly organized with strong attention to detail Able to multitask while maintaining a calm and professional demeanor A strong communicator who enjoys working with people Dependable, proactive, and solution-focused Passionate about helping others and creating positive experiences Interested in wellness, healthcare, functional medicine, or aesthetics Qualifications Previous experience in customer service, reception, hospitality, or front desk roles required Medical office, wellness clinic, med spa, or healthcare experience preferred Strong verbal and written communication skills Comfortable working with scheduling software, phones, and computer systems Ability to prioritize tasks and work efficiently in a busy environment Professional appearance and positive attitude What We Offer A supportive and professional team environment Opportunities for growth and advancement Ongoing training and development Employee discounts on services and wellness products The opportunity to be part of a clinic that is making a meaningful impact in patients' lives A workplace culture focused on collaboration, learning, and excellence Why Join Our Team?
