In this vital role, you will manage front desk operations, handle multi-line phone systems, and provide exceptional customer service to visitors, clients, and staff. Your proactive approach and strong organizational skills will ensure smooth office management and efficient communication across departments. This paid position offers an exciting opportunity to develop your administrative expertise while supporting a professional and friendly work environment. Duties Greet visitors warmly, verify appointments, and direct them appropriately within the office Manage phone/text systems with professionalism, practicing excellent phone etiquette and customer support Handle incoming and outgoing correspondence, including emails, mail, and courier deliveries Maintain organized filing systems, data entry records, and ensure accurate document proofreading Schedule appointments, manage calendars, and coordinate meetings Support office management tasks such as ordering supplies, managing office equipment, and overseeing general administrative functions Experience Proven office experience with a strong background in clerical and administrative roles Demonstrated proficiency in computer literacy including Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications Experience with front desk operations in medical spa offices is a plus Strong organizational skills with the ability to multitask efficiently in a fast-paced environment Previous customer service experience emphasizing professionalism and clear communication Personal assistant or medical receptionist experience is advantageous but not required Ability to perform data entry accurately with high attention to detail and proofreading skills Join us to be part of a vibrant team where your organizational talents shine!
