Position Summary Primary on-site receptionist at USTDA's 11th-floor reception desk. Provides professional front-desk presence, greets US Government officials, Congressional staff, and senior private-sector executives. Owns inbound mail and package logistics, file management support, and conference/training room set-up. Key Responsibilities Staff and operate the 11th floor (Primary) reception area during all normal business hours. Greet US Government officials, Congressional staff, foreign delegations, and senior private-sector executives in a professional manner. Handle inbound phone calls, emails, and mail; serve as point of contact for internal and external communication. Collect, sort, and distribute incoming mail; maintain records of receipt and mailing dates. Ensure appropriate mailing and shipping of packages, letters, and sensitive materials per USTDA Correspondence Guidelines. Review and distribute incoming faxes and electronic documents to staff. Manage calendars, schedule meetings, and book conference rooms. Create and distribute correspondence, reports, and other documents. Provide general office support (admin tasks, data entry, filing, customer service). Upkeep and set up conference and training rooms. Manage receptionist area appearance and supplies. Provide backup coverage for the 10th floor reception desk during leave or peak demand. Required Education High school diploma REQUIRED.
Associate's or bachelor's degree PREFERRED.
Required Experience Minimum 1-3 years of experience in a professional office environment as a support assistant, receptionist, or equivalent. Experience handling phone calls, emails, and mail; serving as point of contact for internal and external communication. Experience collecting, sorting, and distributing incoming mail; ability to maintain records of receipt and mailing dates. Ability to ensure appropriate mailing/shipping of packages, letters, etc. Experience managing calendars, scheduling meetings, appointments, and greeting high-level guests. Experience creating and distributing correspondence, reports, and other documents. Experience providing general office support (admin tasks, data entry, filing, customer service). Experience with upkeep and setting up of all conference and training rooms. Ability to manage multiple tasks and prioritize effectively. Ability to manage the receptionist area. Effective written and verbal communication skills. Proficiency in office software and equipment (MS 365, multi-line phone, mail-tracking systems). Physical ability to move large numbers of files and/or file boxes. Preferred Qualifications / Certifications Prior experience as a receptionist or office assistant at a federal agency, embassy, or law firm. Microsoft Office Specialist (MOS) certification. Notary public (helpful but not required). ClearanceEligibility Requirements U.S. Citizenship required (PWS D.1.4). Must possess or be able to obtain and maintain a final SECRET security clearance issued by DCSA. An active interim Secret may be acceptable for non-Project Manager positions per PWS D.1.5.1, subject to Contracting Officer discretion. Candidates without a current clearance must be eligible to be processed for a Department of State (DOS) Personal Identification Facility Access Card (FAC) prior to start. Must complete and pass Certification of Personnel requirements per RFP Section E.1.8 (Certification confirms availability for award and commitment to the position). Must consent to and pass a USTDA non-disclosure agreement (NDA) and abide by USTDA dress code, FAR-mandated conduct, and DD-254 classification handling rules. CompensationBenefits Starting hourly rate:
$20.00. Plus SCA Health &Welfare, 11 federal holidays, vacation, and sick leave.
