Job Description
Job Summary:
We are seeking a reliable English and Spanish speaker and professional Receptionist to join our team. As the first point of contact for our organization, you will play a crucial role in providing exceptional customer service and creating a positive impression for our visitors. The ideal candidate will have excellent communication skills, attention to detail, and the ability to multitask in a fast-paced environment.Duties:
- Greet and welcome visitors in a friendly and professional manner
- Answer and direct phone calls, taking messages as necessary
- Manage incoming and outgoing mail, packages, and deliveries
- Schedule appointments and maintain calendars for staff members
- Perform general clerical duties, such as data entry, filing, and photocopying
- Maintain office supplies inventory and place orders when necessary
- Provide administrative support to various departments as needed
- Transcribe meeting minutes and other documents as required
Qualifications:
- Previous experience as a Receptionist or in a similar role is preferred
- Excellent interpersonal skills with the ability to communicate effectively with individuals at all levels
- Strong organizational skills with the ability to prioritize tasks and manage time efficiently
- Proficient in using Google Suite or similar software for calendar management, document creation, and email correspondence
- Attention to detail and strong proofreading skills to ensure accuracy in written communications
- Able to handle money
- Familiarity with dental office operations is an advantage
Skills:
- Personal assistant skills to provide support to staff members as needed
- Proficient in proofreading documents for grammar, spelling, and punctuation errors
- Calendar management abilities to schedule appointments and coordinate meetings
- Knowledge of Google Suite or similar software for efficient document creation and email management
- Event planning skills to assist with organizing company events or meetings
- Ability to transcribe meeting minutes accurately
