In this vital role, you will serve as the first point of contact for visitors, clients, and team members, ensuring a positive and professional experience. Your energetic approach and organizational skills will help streamline office operations, manage communications, and support administrative functions. Responsibilities Greet visitors warmly and direct them appropriately, maintaining excellent customer service standards. Manage multi-line phone systems with professionalism, answering inquiries promptly and routing calls efficiently. Handle incoming and outgoing correspondence, including emails, mail, and packages. Maintain organized filing systems, data entry records, and ensure accurate document proofreading. Support calendar management for appointments, meetings, and events using tools like Google Workspace or Microsoft Office. Assist with basic bookkeeping tasks using QuickBooks or similar accounting software. Perform clerical duties such as typing reports, managing office supplies, and supporting general office management activities. Qualifications Proven experience in office administration, clerical work, or as a receptionist in a fast-paced environment. Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace. Excellent organizational skills with the ability to multitask effectively and prioritize tasks efficiently. Exceptional phone etiquette and customer service skills to handle inquiries with professionalism. Bilingual abilities are a plus to serve diverse client needs effectively. Experience with multi-line phone systems, data entry, filing, proofreading, and calendar management preferred. Knowledge of medical or dental receptionist duties is advantageous but not required; relevant personal assistant experience is also valued.
