  • Part-time, Full-time Job Summary We are seeking an energetic and detail-oriented Receptionist/Administrative Assistant to join our dynamic team.
In this vital role, you will serve as the first point of contact for visitors and callers, ensuring a welcoming and professional environment. You will manage front desk operations, handle multi-line phone systems, and provide comprehensive administrative support to ensure the smooth functioning of our office. Your organizational skills and office management expertise will contribute significantly to our team's efficiency and positive workplace culture. Responsibilities Greet visitors, clients, and vendors with professionalism and warmth, maintaining excellent customer service standards Manage multi-line phone systems, screen calls, and direct inquiries to appropriate staff members using proper phone etiquette Perform data entry, filing, and document proofreading to ensure accuracy and organization of all office records Coordinate calendar management, appointment scheduling, and meeting arrangements for staff members Utilize computer skills including Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace to prepare reports, correspondence, and presentations Support bookkeeping tasks using QuickBooks or similar accounting software for invoicing and expense tracking Handle clerical duties such as photocopying, faxing, mailing, and maintaining office supplies inventory Skills Proven experience in office management or administrative support roles with strong organizational skills Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications Excellent communication skills with a professional phone manner; experience with multi-line phone systems preferred Bilingual abilities are a plus to serve diverse client needs effectively Strong data entry skills with high accuracy; familiarity with data management tools like QuickBooks is advantageous Ability to multitask efficiently while managing time effectively in a busy environment Experience in customer service or customer support roles; previous front desk or receptionist experience highly valued Knowledge of clerical procedures such as filing systems, proofreading documents, and calendar management Familiarity with office equipment including printers, scanners, and fax machines; basic bookkeeping knowledge is a plus Demonstrated ability to maintain confidentiality and exercise good judgment in handling sensitive information Join us in creating a welcoming atmosphere while supporting our team's operational excellence!
