Front Desk Administrative Assistant/Receptionist

Can you maintain a calm and pleasant demeanor in an often chaotic environment? If so, please keep reading. We are a fast-paced, full-service dog daycare, boarding and grooming facility serving over 100 clients a day and are looking to add to our team! Our Front-of-House Executive Assistant will be responsible for overseeing the day-to-day operations, including, but not limited to: Above average PC and telephone skills. Interacting with clients in a professional and engaging manner. Asking and answering client questions, receiving information regarding their dogs, explaining company services and policies. Addressing any concerns promptly and calmly. Scheduling new dog interviews and daycare/boarding reservations. Tracking and maintaining daycare package use, vaccination records, contact and vet information. Assessing client needs and suggesting appropriate services. Confidently explain our pricing and service offerings as well as various cost-saving packages that would suit them. Frequent phone, email and text communication with clients is expected. Light marketing tasks such as updating social media, encouraging positive reviews from clients, decorating for holidays/events, etc. Maintaining a clean and tidy environment at all times. Immediately cleaning dog waste messes and daily cleaning to keep desk and lobby area pristine. Labeling and storing all dog possessions for boarding and ensuring items are returned to owner, medications are listed correctly and information for their stay is accurate. Relaying dog health, behavior, feeding, medication or care notes to team members. Similarly, relaying information back to owners via phone, text or in person. Reporting any concerns or incidents to supervisors and owner immediately. Facilitating a cohesive team with all co-workers. Clear and frequent communication is key to maintaining a safe and comfortable environment for our dogs, team and clients. Special projects will be assigned. i.e.
  • training new hires, planning events, etc.
Working professionally in a non-standard work environment. The presence of noises, smells and wastes (hair/vomit/potty mess) from dogs. Answering multiple phone calls a day and responding promptly. Greeting clients and their pups as they enter the building. Checking out pups at the end of the day. Working directly with the owner on assignments as assigned. Processing boarding, grooming, daycare and retail transactions Assist groomer with scheduling grooming and discussing grooming details with clients. This position can be stressful and the environment can be loud with multiple conversations and activities happening at one time. With that being said, this position is also very rewarding and experiencing the joy and excitement of the dogs that come into Paradise is truly heartwarming.
SKILLS REQUIRED
Customer service skills. Must demonstrate a sincere concern for the care of animals and their relationships with their owners Must be able to multi-task during high volume times and must be able to prioritize tasks. Must be personable, patient, ambitious and adaptable. Comfortable around dogs of all sizes and temperaments. Work schedule includes days, early evenings, occasional weekends, and some holidays.
Professional appearance:
clean attire, friendly, mature and professional demeanor Must be punctual and reliable. Ability to be on your feet and lifting up to 40 lbs. Hours will vary, but starting time will be either. Shifts will primarily be 9:30
  • 6:30 Thursday and Friday and 1:45
  • 6:30 Tuesday and Wednesday.
