The Front Desk Receptionist & Scheduler serves as the first point of contact for patients, providing exceptional customer service while efficiently managing appointment scheduling and front office operations. This role supports clinical staff and providers by ensuring accurate patient registration, insurance verification, and smooth daily workflow within a busy ophthalmology practice. Responsibilities Greet and check in patients in a professional and courteous manner Schedule, reschedule, and confirm patient appointments for routine exams, follow-ups, testing, and surgical consultations Verify insurance eligibility and obtain necessary referrals or authorizations Collect co-pays, balances, and process payments accurately Maintain and update patient demographic and insurance information in the electronic medical record (EMR) system Answer multi-line phone system and respond to patient inquiries regarding appointments, procedures, and general office information Coordinate scheduling for doctors visits and diagnostic testing (e.g., visual fields, OCT, retinal imaging) Communicate effectively with clinical staff to manage patient flow and provider schedules Assist with administrative tasks including scanning, filing, faxing, and records requests Follow all safety procedures as per guidelines. Adherence to HIPAA, OSHA, hazard reporting, safety data sheets (SDS) guidelines, safe handling practices, mandatory reporting, and all local, state and federal guidelines. Experience High school diploma or equivalent required 1-3 years of scheduling experience, preferably in ophthalmology. Knowledge of medical terminology preferred. Experience with insurance verification and prior authorizations. Proficiency in
EMR & PM
systems and Microsoft Office. Strong communication, organization, and multitasking skills. Ability to work in a fast-paced clinical environment.
