Job Description

Job Overview:
We are seeking a friendly, organized, and highly professional Front Desk Coordinator to join our oral surgery practice. The ideal candidate will be the first point of contact for patients and will play a key role in providing exceptional customer service while assisting with administrative and clinical support tasks to ensure smooth office operations.
Key Responsibilities:
Patient Interaction:
  • Greet patients warmly upon arrival and check them in for their scheduled appointments.
  • Answer phone calls and respond to patient inquiries regarding appointments, insurance, and procedures.
  • Schedule, confirm, and reschedule appointments, ensuring optimal patient flow and coordination with the surgical team.
  • Handle patient check-out, provide post-surgical instructions, and schedule follow-up visits.
Administrative Support:
  • Maintain patient records, ensuring all information is accurate and up to date in the office management system.
  • Verify patient insurance information and process insurance claims.
  • Prepare and manage patient charts for upcoming procedures, including reviewing medical histories and pre-operative instructions.
  • Assist with managing patient referral information and processing required paperwork.
Financial Responsibilities:
  • Collect payments, process co-pays, and provide receipts for patients.
  • Coordinate financial arrangements for treatment plans and ensure patients are informed of costs, payment options, and insurance coverage. Sterile Tech Duties (as needed):
  • Assist in sterilizing surgical instruments and maintaining sterile environments in accordance with OSHA and infection control protocols.
  • Operate and maintain sterilization equipment (e.g., autoclaves).
  • Support the surgical team by ensuring all necessary tools and trays are properly sterilized and available.
  • Monitor inventory of sterile supplies and restock as needed.
Office Management:
  • Ensure the front office is clean, organized, and welcoming for patients.
  • Coordinate with other staff members, including surgeons, dental assistants, and office managers, to ensure efficient office workflow.
Compliance and Confidentiality:
  • Ensure compliance with HIPAA regulations and patient privacy laws.
  • Maintain the confidentiality of patient information at all times.
Qualifications:
  • High school diploma or equivalent.
  • Previous experience in a medical or dental office setting, preferably in oral surgery, is highly desired, or open to learner-mindset individuals interested in transitioning to the medical industry.
  • Strong interpersonal and communication skills with the ability to interact professionally with patients, staff, and insurance representatives.
  • Knowledge of insurance verification, billing, and coding is a plus.
  • Proficiency in using office management software and basic office equipment. Ability to multitask, prioritize, and work efficiently in a fast-paced environment.
  • Willingness to assist with clinical support and sterile processing as needed.
