In this vital role, you will be the friendly first point of contact for clients, visitors, and staff, ensuring smooth operations at the front desk while efficiently managing client intake processes. Your energetic approach and exceptional organizational skills will help create a welcoming environment and streamline administrative workflows. This paid position offers an exciting opportunity to contribute to a supportive and professional office setting, where your multitasking abilities and customer service expertise will shine. Duties Greet visitors and clients warmly, providing excellent customer support and guiding them through check-in procedures Manage multi-line phone systems to answer inquiries promptly, direct calls accurately, and take detailed messages Coordinate client intake appointments, ensuring all necessary documentation is collected and processed efficiently Maintain organized filing systems, both physical and digital, including data entry and record keeping using software like Microsoft Office and AxisCare Support office management tasks such as calendar management, scheduling meetings, and handling correspondence with professionalism Assist with clerical duties including proofreading documents, managing phone etiquette, and performing general administrative support Skills Proven experience in front desk operations or office management with strong organizational skills Excellent communication skills with a friendly demeanor; bilingual abilities are a plus for serving diverse clients Proficiency in computer literacy including Microsoft Office (Word, Excel), Google Workspace (Gmail, Calendar), and data entry software Familiarity with multi-line phone systems and phone etiquette to handle high-volume calls effectively Strong typing skills with attention to detail for accurate data entry and proofreading tasks Ability to manage time efficiently in a fast-paced environment while prioritizing tasks effectively Previous clerical or administrative experience, including customer service roles or personal assistant work Join us to be part of a vibrant team dedicated to providing exceptional service while supporting the daily operations of our office.
