Job Description

Office Assistant/Receptionist Ross & Williamson, Inc. Join our dynamic team as an Office Assistant/Receptionist, where you will be the welcoming face and organizational hub of our office environment. This vital role combines front desk management, administrative support, and customer service to ensure smooth daily operations. Greet visitors warmly and professionally, ensuring a positive first impression for all who enter the office. Manage multi-line phone systems, directing calls efficiently and courteously while maintaining excellent phone etiquette. Schedule service calls and installations Maintain organized filing systems, data entry records, and ensure all documents are properly proofread and stored securely. Support office management tasks Assist with bookkeeping duties using QuickBooks or similar software to track expenses and invoices. Perform clerical duties including photocopying, scanning, proofreading documents, and managing office supplies inventory. Provide exceptional customer support by addressing inquiries promptly and professionally in person or via phone or emails Contribute to a well-organized environment by managing filing systems, data entry tasks, and maintaining cleanliness of the reception area. Proven experience in office management or administrative roles with strong organizational skills. Excellent computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications. Familiarity with multi-line phone systems and phone etiquette to handle calls effectively. Experience with QuickBooks or bookkeeping software is highly desirable. Bilingual abilities are a plus to serve diverse client needs effectively. Strong clerical skills including data entry, proofreading, filing, and document management. Exceptional customer service skills with a friendly demeanor and professional attitude. Ability to manage time efficiently while juggling multiple responsibilities in a fast-paced environment.
