Job Description

Overview We are seeking a dynamic and organized Receptionist/Administrative Assistant to join our team! This vital role combines front desk responsibilities with comprehensive administrative support, ensuring our office runs smoothly and efficiently. The ideal candidate will be energetic, detail-oriented, and possess excellent communication skills. You will be the first point of contact for visitors and callers, providing exceptional customer service while managing a variety of clerical tasks that keep our operations seamless. This paid position offers an exciting opportunity to develop your office management skills in a fast-paced environment. Duties Answer and direct incoming phone calls in a professional manner Schedule appointments and coordinate calendars Handle purchasing and ordering supplies as needed Manage accounts payable and accounts receivable (AP/AR) Maintain organized office systems and filing Provide general administrative and clerical support Manage appointment scheduling and calendar coordination Perform data entry, filing, and document proofreading to maintain accurate records Handle correspondence, emails, and customer support inquiries promptly and professionally Experience Prior office experience or administrative support experience in a professional setting is preferred but not required. Proficient typing skills Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications Strong organizational skills with the ability to multitask effectively in a fast-paced environment Excellent communication skills, both verbal and written; bilingual ability is a plus Familiarity with multi-line phone systems, data entry, filing systems, and clerical procedures Knowledge of bookkeeping software such as QuickBooks or similar tools is advantageous Demonstrated ability to manage calendars, schedule appointments, and prioritize tasks efficiently
