GED Full Job Description Key Responsibilities Title Processing:
Assisting the Title Clerk in the preparation of titling and registering vehicle titles accurately and in a timely manner, including new, used, trade-ins, and out-of-state transactions, ensuring compliance with state DMV regulations.
Tag & Registration:
Preparing for the submission of tag, title, and registration applications to the appropriate state agencies by the Title Clerk, ensuring all paperwork is complete and correct.
Document Review:
Review deal paperwork for required title documents, including MSOs, titles, lien releases, odometer statements, and power of attorney forms, ensuring accuracy and completeness.
Tracking & Follow-Up:
Monitor title work in process, track outstanding documents, and follow up on title status to ensure timely completion and delivery utilizing Microsoft Excel.
Compliance:
Maintain compliance with all federal, state, and local regulations related to vehicle titling and registration.
Recordkeeping:
Assisting in maintaining organized and accurate records of all title transactions, including digital and physical filing systems, and weekly physical inventory checks.
Customer & Vendor Communication:
Communicate with customers, lienholders, and state agencies regarding title corrections, delays, or requirements. Preparation and submission of duplicate titles. Daily posting of prior day reporting from Vitu software into the Reynolds & Reynolds DMS. Scanning Tag and Title documents into DMS. Fill in answering receptionist phones 1 hour per week.
Qualifications:
Experience:
Previous experience in automotive title work preferred but not required, dealership office operations, or DMV-related processing preferred; proficiency with Microsoft Office (Excel preferred).
Knowledge:
Familiarity with vehicle titling procedures preferred, state DMV regulations, and dealership operations.
Skills:
Strong attention to detail, excellent organizational abilities, and the ability to manage multiple deadlines; experience with Reynolds & Reynolds or similar DMS is a plus.
Communication:
Strong written and verbal communication skills; ability to work effectively with internal teams, customers, and external agencies.
Education:
High school diploma or equivalent required; additional administrative or automotive coursework is a plus.
Problem-Solving:
Ability to identify and resolve discrepancies in title paperwork efficiently and accurately.
