Admissions Coordinator

Position Summary The Admissions Coordinator is responsible for managing the intake and admissions process for individuals seeking detoxification and residential substance use disorder treatment services. This role serves as the first point of contact for prospective clients, families, referral sources, and healthcare providers. The Admissions Coordinator ensures a compassionate, efficient, and compliant admissions process while coordinating with clinical staff to determine eligibility and appropriate level of care. Key Responsibilities Client Intake & Admissions Respond to incoming inquiries from prospective clients, families, and referral sources via phone, email, and online platforms. Conduct initial screenings to determine eligibility for detox and residential treatment services. Gather demographic, clinical, and insurance information for potential admissions. Coordinate admissions with clinical staff, nursing, and program leadership. Schedule and facilitate client admissions and ensure timely bed placement. Insurance & Financial Coordination Verify insurance benefits and coverage for detox and residential treatment services. Communicate financial responsibilities and payment options to clients and families. Coordinate with utilization review and billing teams to ensure proper documentation. Documentation & Compliance Maintain accurate and confidential client records in the electronic health record (EHR) system. Ensure all intake documentation, consent forms, and admission paperwork are completed. Adhere to HIPAA, confidentiality, and regulatory standards. Coordination & Communication Collaborate with clinical teams to ensure appropriate placement and continuity of care. Communicate with referral sources including hospitals, behavioral health providers, and community organizations. Provide updates to families and referral partners regarding admission status when appropriate. Census & Bed Management Monitor program census and availability of detox and residential beds. Coordinate admissions logistics including arrival times, transportation needs, and intake scheduling. Qualifications Education Associate's or Bachelor's degree in Behavioral Health, Healthcare Administration, Social Work, or related field preferred. Skills Strong communication and interpersonal skills. Ability to interact with individuals in crisis with empathy and professionalism. Excellent organizational and multitasking abilities. Knowledge of HIPAA and patient confidentiality standards. Familiarity with EHR systems and insurance verification tools. Ability to work in a fast-paced, high-demand environment.
