Full-time Position Summary:
We are seeking a detail-oriented, proactive, and tech-savvy Irrigation Operations Assistant to support our Water Management team. This position provides essential administrative and technical support for irrigation case handling, data management, and communication across 25+ residential communities. The ideal candidate is highly organized, comfortable with computers, and eager to learn irrigation management programs. This role offers hands-on training and the opportunity to grow into a more advanced Irrigation Operations & Program Support position over time.
Key Responsibilities:
Irrigation Case & Ticket Management Assist with daily irrigation tickets, ensuring all cases are logged, tracked, printed, and assigned to the appropriate supervisor or technician. Monitor incoming irrigation calls and emails, ensuring prompt response and follow-up with homeowners and field staff. Support in closing work orders once resolved, ensuring documentation is accurate and clear. Maintain communication with supervisors and managers to ensure timely case updates and completion. Data Entry & File Management Update and maintain digital records for over 25+ communities, ensuring accuracy in irrigation schedules, timers, and zone details. Transfer data from physical documents into shared digital files on a monthly basis. Support the upkeep of the Master Irrigation File (Excel-based) by entering and organizing information for timers, run times, and zone configurations. Assist in creating community-specific spreadsheets and folders for easy reference by the Water Management team. Communication & Office Support Manage the irrigation administrative Outlook inbox, ensuring all irrigation-related emails are organized, tracked, and responded to in a timely manner. Act as a communication bridge between office staff, field supervisors, and homeowners to streamline scheduling and updates. Help prepare and print necessary paperwork, maps, and reports for technicians and supervisors. Support with documentation requests, internal forms, and reports as needed by the Irrigation Supervisor or Manager. Software Learning & Technical Growth Receive training on irrigation management platforms (Hunter Centralus, Flowguard, Toro Sentinel, etc.) to assist in remote checks, schedule updates, and troubleshooting. Gradually take on responsibilities related to irrigation programming and monitoring. Provide light tech support in the office for file formatting, spreadsheets, and other basic software tools.
Required Skills & Experience:
1-2 years of experience in administrative support, customer service, or data entry (irrigation/landscaping experience is a plus). Strong computer skills, including Microsoft Excel, Outlook, and file organization. Excellent attention to detail and accuracy in data entry. Strong written and verbal communication skills. Ability to multitask and manage deadlines in a fast-paced environment. Willingness to learn irrigation platforms and operational processes. Quick learner with the ability to adapt to new systems and procedures.
Preferred Qualifications:
Intermediate to advanced Excel knowledge (formulas, multi-tab organization, conditional formatting). Experience using ticketing or work order management systems. Bilingual (English/Spanish) preferred but not required. Interest in growing into a long-term role within the Water Management team.
