Job Description
Overview Bi-Lingual We are seeking a dynamic and highly organized Office Manager to lead the daily operations of our office environment. This role is vital in ensuring a smooth, efficient, and welcoming workspace that supports our team's productivity and growth. The ideal candidate will bring a proactive approach, exceptional communication skills, and a passion for creating an organized and positive office atmosphere. You will oversee administrative functions, manage vendor relationships, coordinate events, and supervise staff to foster a collaborative and efficient workplace culture. Responsibilities Oversee daily office operations, including front desk management, Manage vendor relationships by negotiating contracts, overseeing supplies procurement, and maintaining service quality to support office needs. Coordinate and plan company events, meetings, and training sessions to promote team engagement and professional development. Supervise administrative staff and provide leadership in human resources functions such as onboarding, training & development, payroll processing, and employee record management. Handle budgeting, bookkeeping, and expense tracking using QuickBooks or similar financial software to maintain accurate financial records. Oversee filing systems, record keeping, and document management to ensure compliance with organizational policies and legal requirements. Support medical or specialized office management tasks as needed, including appointment scheduling, patient or client communication, and medical record handling. Experience Proven experience in office management or administrative roles with a strong background in clerical tasks and organizational duties. Supervising experience with demonstrated ability to lead teams effectively while fostering a positive work environment. Familiarity with QuickBooks or comparable accounting software for bookkeeping and payroll management. Experience coordinating events, managing schedules, and handling vendor negotiations to ensure operational efficiency. Strong communication skills with the ability to handle front desk responsibilities professionally while maintaining phone etiquette across multi-line systems. Knowledge of human resources processes including onboarding, training & development programs, and employee relations. Previous experience managing medical or specialized offices is preferred but not required; adaptability is key for success in diverse office environments.
