Job Description

Position Summary The Buildings & Grounds Coordinator ensures that the Centro Culturale Italiano di Buffalo remains clean, safe, and well-maintained for members, guests, and staff. This role combines custodial work, basic maintenance, seasonal outdoor care, and event setup/teardown. It is physically active and requires good judgment, reliability, and comfort interacting with staff, volunteers, board members, and the public. Key Responsibilities Facilities & Maintenance Perform daily cleaning of classrooms, bathrooms, offices, common areas, and high-traffic spaces. Complete routine maintenance tasks, including minor plumbing (unclogging drains, tightening or repairing simple leaks), light carpentry, patching/painting, and basic repairs. Conduct regular walk-throughs to identify needed repairs, safety hazards, wear-and-tear, or operational concerns. Maintain sanitary conditions throughout the building and remove debris inside and outside as needed. Ensure all fire exits are clear, emergency lighting/signage is functional (reporting issues promptly), and general safety standards are met. Maintain a schedule of routine facility service appointments, including HVAC inspections and snowblower maintenance. Receive, store, and organize deliveries and supplies. Custodial Responsibilities Sweep, vacuum, mop, dust, clean restrooms, sanitize surfaces, and maintain overall cleanliness of the Centro. Empty trash and recycling daily, transporting waste to the dumpster. Restock paper products, soap, and cleaning materials; inform the Executive Director when inventory needs replenishing. Keep storage, cleaning closets, and supply areas clean and organized. Groundskeeping & Seasonal Work Perform basic exterior upkeep, including light landscaping, weeding, sweeping walkways, and picking up debris. Monitor weather conditions during winter months and take appropriate action (shoveling and salting) to maintain safe sidewalks, entrances, and fire exits in accordance with city requirements. Operate equipment such as snowblowers, lawn mowers, and basic power tools safely. Event Support Work with staff and volunteers to set up tables, chairs, equipment, and décor for programs, rentals, and special events. Break down and reset rooms to standard configurations following events. Participate fully in all-hands events, including St. Joseph's Day Table, the Galbani Italian American Heritage Festival, and our annual Renaissance Gala. Assist staff and volunteers with physical tasks during programs as needed. Additional Responsibilities Vendor & Contractor Coordination Assist with scheduling outside vendors for specialized repairs, landscaping services, snow removal, and other contracted work. Provide access to facilities and communicate expectations when vendors are onsite. Report completion issues, delays, or additional needs to the Executive Director promptly. Communication & Reporting Communicate safety concerns, needed repairs, supply shortages, or equipment issues immediately. Maintain productivity and professionalism with minimal supervision. Provide friendly, helpful customer service when interacting with staff, volunteers, board members, and guests. Perform additional duties as assigned to support the organization's operations. Prepare a brief monthly status report summarizing completed tasks, upcoming maintenance needs, and safety concerns for inclusion in board meeting materials. Physical & Environmental Requirements Ability to lift, carry, push, and pull up to 50 lbs unassisted. Ability to stand, walk, climb, kneel, crouch, and bend for extended periods. Comfort working indoors and outdoors in all seasons, including heat, cold, snow, humidity, and rain. Ability to safely operate snowblowers, lawn equipment, hand tools, and basic maintenance tools. Qualifications Prior experience in custodial, maintenance, or facilities roles preferred. Basic handyman skills (light plumbing, patching, painting, general repairs). Strong communication skills and ability to follow procedures and prioritize tasks. Reliability, punctuality, and ability to work independently. Comfort interacting with staff, volunteers, and the public.
Compensation & Schedule Compensation:
$18
  • 22 per hour, commensurate with experience. Part-time position (20
  • 30 hrs/wk) with possible expansion to full-time; schedule includes mornings, evenings, and weekends depending on programming and seasonal needs.
