This role is responsible for project administration, billing, compliance, and procurement support, while also assisting in maintaining the company's established safety program in coordination with field foremen. This position serves as a key link between the Director of Operations, Project Manager, field foremen, subcontractors, and vendors to ensure projects are executed efficiently, safely, and in alignment with company standards. Key Responsibilities Project Administration & Coordination Provide direct support to the Project Manager & Director of Operations on all active projects Maintain organized and up-to-date project documentation, including contracts, submittals, RFIs, and change orders Coordinate communication between the Project Manager & Director of Operations, field foremen and vendors Support a saucerful overall project Billing & Cost Control Prepare and submit monthly progress billings and assist with client invoicing Assist with change order pricing, tracking, and follow-up to ensure timely approval and billing Contracts, Insurance & Compliance Assist with preparation and administration of subcontracts and vendor agreements Collect, review, and track certificates of insurance (COIs) Verify subcontractor licenses and compliance requirements prior to project start Maintain logs for insurance, licenses, and compliance documentation Submittals & Change Management Prepare, track, and manage submittals to ensure timely approval Maintain submittal logs and change order logs Proactively follow up on pending change orders to avoid delays in billing and project progress Procurement & Field Support Coordinate concrete orders, material deliveries, and vendor scheduling Assist with demo logistics, including hauling, disposal coordination, and equipment scheduling Work closely with field foremen to ensure materials and resources are aligned with project needs Estimating & Bid Support Assist with document organization, and bid tracking Solicit and follow up on vendor and subcontractor quotes Maintain bid logs and historical cost data for future estimating efforts Safety Program Support Support the Project Manager, Director of Operations and field foremen in maintaining compliance with the company's established safety program Assist with tracking required safety documentation, site compliance, and reporting Help ensure jobsite documentation (IIPP, safety forms, etc.) is current and accessible Coordinate communication related to safety updates, trainings, or requirements as directed
