This role works closely with the field teams, consultants, contractors, vendors, and onsite personnel including facilities, maintenance, security, and operations, to ensure projects are delivered safely, on schedule, within budget, and in accordance with quality standards and brand expectations. The ideal candidate possesses strong organizational skills, construction knowledge, cost control experience, and field coordination capabilities specifically with coordinating logistics between various departments within a large-scale hospitality facility. Key Responsibilities Project Planning & Coordination Assist with all phases of project delivery including pre-construction, procurement, construction, turnover, and closeout activities. Support development and maintenance of project schedules, milestone tracking, phasing plans, and construction work plans. Coordinate with architects, engineers, consultants, contractors, subcontractors, and vendors to ensure timely project execution. Assist in managing permitting, utility coordination, inspections, and jurisdictional approvals. Support construction logistics planning for active 24-hour operational hospitality facility to minimize operational disruptions and maintain guest experience standards. Monitor project progress and proactively identify schedule impacts, conflicts, or potential risks. Cost Control & Budget Management Assist in preparing and maintaining detailed project budgets, forecasts, and cost reports. Track project expenditures, commitments, contingency usage, and budget variances throughout the project lifecycle. Review and process contractor payment applications, invoices, purchase orders, and change order requests for accuracy and contract compliance. Support the evaluation, negotiation, and documentation of change orders and potential cost impacts. Assist with quantity tracking, cost comparisons, bid leveling, and procurement evaluations. Work closely with accounting and project controls teams to ensure accurate financial reporting and cost forecasting. Monitor labor productivity, material costs, and subcontractor performance to support overall project financial objectives. Field Coordination & Construction Oversight Conduct regular site walks and field inspections to monitor construction progress, safety, quality, and compliance with contract documents. Coordinate daily activities between contractors, subcontractors, vendors, and operations teams in active hospitality and gaming environments. Assist in resolving field conflicts, design discrepancies, constructability issues, and unforeseen site conditions. Support implementation of safety procedures and ensure compliance with OSHA requirements and project safety standards. Verify work-in-place against approved drawings, specifications, schedules, and quality expectations. Participate in punch walks, deficiency tracking, testing and commissioning activities, and project turnover processes. Maintain awareness of field productivity, sequencing, manpower coordination, and schedule adherence. Documentation & Project Administration Prepare, review, track, and distribute project documentation including RFIs, submittals, meeting minutes, contracts, change orders, and closeout packages. Maintain organized and accurate project files, logs, correspondence, and reporting systems. Assist with preparation of owner updates, executive reports, progress presentations, and meeting agendas. Track action items and follow up with responsible parties to ensure timely completion. Support document control processes using project management software platforms. Quality Assurance & Compliance Assist in ensuring all project activities comply with applicable building codes, regulatory requirements, brand standards, and contract specifications. Support quality control inspections and coordination of corrective actions when deficiencies are identified. Coordinate with inspectors, consultants, and testing agencies to ensure compliance and successful inspections. Assist with implementation of company quality management procedures and project standards. Team Collaboration & Communication Serve as a liaison between project stakeholders including ownership groups, operations teams, design consultants, contractors, and vendors. Attend project meetings and effectively communicate project status, risks, and action items. Support a collaborative team environment through proactive communication and problem-solving. Provide support, training, and oversight to Project Engineers, Project Coordinators, and administrative staff as needed. Assist with special projects and additional assignments to support overall project and company objectives. Qualifications Education & Experience Bachelor's degree in Construction Management, Civil Engineering, Architecture, or related field preferred. 3-7 years of construction management or assistant project management experience. Experience supporting hospitality, casino, luxury hotel, commercial, mixed-use, or large-scale interior construction projects preferred. Experience working in occupied or operational facilities is highly desirable. Knowledge of construction cost control, scheduling, and field coordination practices required. Skills & Competencies Strong understanding of construction means and methods, drawings, specifications, and project delivery processes. Experience with cost tracking, budgeting, forecasting, and change management procedures. Ability to read and interpret architectural, structural, MEP, and interior design drawings. Proficiency with Procore, Bluebeam, Microsoft Project, Primavera P6, and Microsoft Office Suite. Excellent communication, organization, and problem-solving skills. Strong attention to detail with the ability to manage multiple priorities in a fast-paced environment. Ability to effectively coordinate field operations and maintain professional relationships with stakeholders. Knowledge of OSHA safety standards and construction site safety practices. Preferred Qualifications Experience on high-end hospitality or casino construction projects. Familiarity with luxury brand standards and guest-facing construction coordination. Understanding of project controls, scheduling analysis, and procurement management. LEED accreditation or industry certifications are a plus.
