This is not an "order taker" admin role. We're looking for someone who thrives in a fast-paced environment, takes ownership, solves problems proactively, communicates confidently, and helps keep our install department running smoothly and profitably. You'll be the connection between customers, installers, vendors, and leadership — helping ensure projects are completed efficiently, professionally, and with an exceptional customer experience. Our Core Values Stay Hungry, Stay Humble — We believe in continuous growth, learning, and improvement Serve People — We genuinely care about helping customers and supporting teammates We Are Team — We win together through communication, accountability, and collaboration Integrity — We do the right thing, even when nobody is watching Key Responsibilities Schedule and coordinate plumbing installation appointments with customers and field technicians Communicate job details, timelines, expectations, and updates to install crews Serve as the primary point of contact for customers before, during, and after installations Support the Lead Installer and Installation Manager in completing jobs on time and under budget Prepare and distribute job packets, work orders, permits, and installation documentation Verify materials, equipment, and job readiness before scheduled installs Coordinate with vendors and suppliers to resolve delays, shortages, or scheduling conflicts Track installation progress and proactively communicate updates internally and externally Maintain accurate records of completed jobs, change orders, customer communication, and job costing information Assist with invoicing, billing support, and operational follow-through Professionally answer incoming calls and create strong customer rapport Help create an exceptional customer experience from start to finish Participate in ongoing training, team meetings, and process improvement initiatives Support company safety standards, policies, and operational systems What Makes Someone Successful in This Role Extremely organized and detail-oriented High sense of urgency and follow-through Self-motivated and proactive Calm under pressure in a fast-paced environment Strong communicator who can confidently work with customers and field teams Solutions-oriented mindset Comfortable holding people accountable respectfully and professionally Able to pivot quickly and problem solve throughout the day Team player who genuinely cares about helping the business grow Qualifications High School Diploma or equivalent Previous experience in scheduling, dispatching, coordination, or project management preferred Experience in the plumbing, HVAC, construction, or home service industry is a plus Strong organizational and multitasking skills Excellent communication and customer service abilities Proficiency with CRM Softwares, scheduling software, and Microsoft Office/Google Workspace Ability to adapt to changing priorities and make decisions quickly Detail-oriented with strong problem-solving abilities Benefits $20-$30/hour DOE Full-time position with overtime as needed Medical, Dental & Vision Insurance 401(k) with company match Paid Time Off Paid Holidays Ongoing training and professional development Opportunity for leadership growth within a growing company Supportive family-owned culture that values teamwork and accountability Why Flow Pro Plumbing?
