For more than 25 years, Oakland Leaf has evolved into a highly regarded leader in youth development and out-of-school time learning. We facilitate culturally relevant expanded learning programming for approximately 1,300 K-12 East Oakland students through seven afterschool programs at public elementary and middle schools, one paid internship program for high school students, and two 5-week summer camps. Our programming emphasizes social and emotional learning, creative expression, critical thinking, leadership development, social justice, and college and career readiness grounded in our core values of Love in Action, Cultivation, Community, Youth Voice, and Critical Thinking. Position Overview The Assistant Coordinator is the operational right hand of the Site Coordinator/Manager by keeping daily site operations running smoothly, ensuring documentation is accurate, and stepping into the lead role when the site coordinator is unavailable. This is a hands-on, highly visible role at the heart of Oakland Leaf's expanded learning sites. The Assistant Coordinator owns real operational responsibilities from attendance tracking and ADA documentation to staff scheduling support and student safety and is expected to bring initiative, reliability, and genuine care for students and staff to every day of the program. The right person for this role is someone who is organized, calm under pressure, good with people, and deeply committed to the young people they serve. For someone who is early in their career in youth development or education and wants to build their skills in program operations, staff support, and site leadership, this is a meaningful opportunity to learn the full scope of expanded learning program management from the inside with real responsibility and a clear pathway for growth within Oakland Leaf. Specific Duties & responsibilities Daily Site Operations Support (35%) Support the Site Coordinator/Manager in the smooth execution of daily program operations including student transitions, activity scheduling, space setup and breakdown, snack coordination, and daily logistics Maintain an organized, safe, and welcoming program environment for students and staff throughout the program day Monitor student supervision ratios at all times ensuring students are accounted for and staff are appropriately positioned across all program spaces Assist with family communication at pickup and drop-off including greeting families warmly, relaying important program information, and directing family concerns to the Site Coordinator/Manager. Step in as acting site lead when the Site Coordinator/Manager is unavailable including managing the full scope of site operations with confidence and continuity until leadership returns Attendance Tracking & Documentation (30%) Own daily attendance tracking at the site ensuring attendance is taken accurately at the start of each program session and updated throughout the day as students arrive and depart Maintain attendance documentation in compliance with CDE requirements including completing daily sign-in sheets, digital attendance records, and any required backup documentation accurately and on time Alert the Site Coordinator/Manager to attendance discrepancies, missing students, or documentation gaps as soon as they are identified, never leaving an attendance issue unresolved at the end of the day Support end-of-day attendance reconciliation ensuring all records are complete, accurate, and submitted according to Oakland Leaf's reporting schedule Assist with enrollment documentation including maintaining current rosters, updating records when students enroll or exit, and supporting family communication around attendance concerns Staff Coordination & Coverage Support (20%) Support the Site Coordinator/Manager in daily staff coordination including communicating schedule changes, activity assignments, and coverage needs to Program Instructors in a clear and timely manner Assist with substitute coordination when staff are absent including communicating coverage needs to the Site Coordinator/Manager and helping orient substitute staff to the site and daily schedule Serve as a point of support and encouragement for Program Instructors throughout the program day including helping new or developing instructors navigate student challenges, activity facilitation, and site expectations Participate in site staff meetings and training sessions including contributing to team culture and bringing a constructive, solutions-oriented presence to the team Student Engagement & Behavior Support (15%) Build authentic, caring relationships with students at the site including serving as a trusted, consistent adult presence that students know and feel safe with Support student behavior management across the site in partnership with the Site Coordinator/Manager including responding to student conflicts, behavioral incidents, and social-emotional needs with patience, consistency, and care Identify students who may be struggling, academically, socially, or emotionally, and bring those observations to the Site Coordinator/Manager with context and proposed support Contribute to a program culture where every student feels seen, valued, and excited to be there Additional duties may be assigned by the Site Coordinator/Manager, or Associate Director. Minimum Qualifications Strong commitment to Oakland Leaf's mission and belief in the power of youth leadership and equity in education At least 1 year of experience working with youth in an expanded learning, school-based, community, or recreational program setting Demonstrated reliability and organizational skills with the ability to manage attendance documentation, daily logistics, and staff communication simultaneously in a fast-moving program environment Strong interpersonal skills with the ability to build relationships with students, families, and staff that are warm, professional, and consistent Ability to step into a leadership role when needed with the composure, judgment, and initiative to manage a site independently in the absence of the site lead Comfort with basic data entry and documentation including digital attendance systems and Google Workspace tools Ability to work collaboratively as part of a site team while also taking independent ownership of assigned responsibilities High cultural competency and a commitment to building inclusive, youth-centered program environments Must be at least 18 years of age Must pass a background check in accordance with California law and Oakland Unified School District requirements
Education & Experience Experience:
1 year of experience working with youth in a program setting; expanded learning or school-based experience a plus
Education:
