Construction Project Manager 2116 Wilshire Boulevard, Santa Monica, CA 90403 From $32 an hour - Full-time From $32 an hour - Full-time Westside Property Management is seeking a results-driven Project Manager specializing in Vacancy Make-Ready (VMR) coordination and general home and apartment repairs. This individual will lead the transition of vacant residential and commercial units from move-out to rent-ready condition, ensuring projects are completed on time, within budget, and to company standards. The ideal candidate is highly organized, detail-oriented, and capable of managing multiple projects simultaneously while coordinating with in-house handymen, 3rd party vendors, & contractors, property managers, maintenance staff, and property owners. Success in this role is measured by reducing vacancy days, controlling turnover costs, increasing owner satisfaction, and ensuring units are returned to market as quickly and profitably as possible.
Key Responsibilities:
VMR Coordination Oversee the complete turnover process from move-out inspection through final rent-ready walkthrough. Develop project scopes, timelines, and action plans for each vacancy. Ensure units are prepared for leasing as quickly as possible while maintaining quality standards. Inspections & Reporting Conduct detailed vacancy inspections and document unit conditions with photos and written reports. Identify required repairs, safety concerns, deferred maintenance items, and value-add opportunities. Prepare detailed repair scopes and recommendations for owner approval when required. Vendor & Team Management Solicit and compare bids from vendors and contractors. Coordinate and oversee internal maintenance staff and third-party vendors. Monitor work quality, project timelines, and vendor performance. Ensure all work is completed in accordance with company standards and local regulations. Stakeholder Communication Serve as the primary point of contact for vacancy turnover projects. Provide regular status updates to Property Managers and ownership groups. Escalate delays, budget concerns, or project issues proactively. Financial Oversight Evaluate unit conditions and recommend security deposit deductions in accordance with California law and company policy. Review project budgets and monitor expenses throughout the turnover process. Ensure project spending aligns with approved budgets and owner expectations. Performance & KPI Management Own and track key Vacancy Make-Ready performance metrics, including: Average days vacant Turnaround completion times Budget adherence Leasing readiness Owner satisfaction Vendor performance Develop and implement strategies to reduce vacancy periods and improve operational efficiency. Cost Control & Profitability Review scopes of work, estimates, and vendor pricing to ensure cost-effective project execution. Identify opportunities to reduce turnover expenses without sacrificing quality. Support company profitability goals through efficient project management and vendor oversight. Recommend improvements that increase rental income and property value. Accounting & Invoice Oversight Review invoices, work orders, receipts, and vendor billing for accuracy. Ensure expenses are properly documented and entered into AppFolio according to company procedures. Verify all project costs before owner billing and final project closeout. Maintain accurate project records and supporting documentation. Revenue Optimization Partner with Leasing and Property Management teams to assess market rents and leasing strategy. Recommend property improvements and upgrades that enhance rental value and reduce future vacancy. Assist in evaluating pricing strategies to maximize occupancy and owner returns. Process Improvement Evaluate existing turnover workflows and identify opportunities for improvement. Develop and implement best practices that increase speed, quality, profitability, and owner satisfaction. Help refine and enforce company Vacancy Make-Ready protocols and standards. Required Experience & SkillsIndustry Expertise Proven experience managing construction, renovation, maintenance, or vacancy turnover projects for property management companies, general contractors, or real estate investors. Strong understanding of residential property systems, repairs, and renovation processes. Operational Execution Ability to learn, implement, and enforce company Standard Operating Procedures (WPM Protocols). Strong organizational and project management skills with the ability to manage multiple projects simultaneously. Communication Excellent written and verbal communication skills. Ability to professionally interact with property owners, vendors, tenants, and internal team members. Strong customer service mindset and problem-solving abilities. Financial Acumen Experience managing project budgets, reviewing invoices, and controlling costs. Ability to analyze project profitability and make recommendations that improve financial performance. Technical Proficiency Experience with AppFolio or similar property management software. Proficiency with Microsoft Office, Google Workspace, and project tracking systems. Ability to create inspection reports, manage work orders, and maintain project documentation. Preferred Qualifications Property management experience. Construction management or renovation project management experience. Experience supervising maintenance teams and contractors. Knowledge of California landlord-tenant laws and security deposit regulations. General contractor, construction, maintenance, or project management certifications are a plus.
