Job Description

Job Summary We are seeking a dynamic and highly organized Office Manager with construction industry experience to oversee daily office operations and support construction project activities. This role combines administrative excellence with construction project coordination, ensuring smooth office functions while managing project timelines, vendor relationships, and team communications. The ideal candidate will be proactive, detail-oriented, and possess strong leadership skills to foster a productive work environment and facilitate successful project execution. Duties Manage all aspects of office administration, including clerical tasks, filing systems, front desk operations, and phone systems to ensure efficient daily workflow. Oversee schedule management for construction projects and team appointments, maintaining accurate calendars and timely communication. Coordinate vendor management activities such as procurement and service scheduling to support construction operations. Oversee accounts receivable including creating invoices and debt collection. Facilitate communication between project teams, vendors, clients, and internal departments to promote transparency and collaboration. Skills Strong organizational skills with exceptional attention to detail in scheduling, filing, and record keeping. Proficiency in QuickBooks for invoicing, bookkeeping, and financial management tasks. Excellent communication skills with professional phone etiquette. Ability to manage multiple priorities simultaneously while maintaining a positive attitude and professional demeanor. Familiarity with budgeting processes and basic bookkeeping principles to support financial oversight of projects and office operations.
