Job Description

Job Overview RPI Construction is seeking a highly organized and detail-oriented Project Coordinator to support our project management team in delivering high-quality construction projects. This role plays a critical part in keeping projects organized, documented, and running smoothly by assisting with billing coordination, subcontractor administration, RFI and submittal tracking, and general project documentation. The Project Coordinator works closely with Project Managers, Superintendents, subcontractors, and internal team members to ensure project information is accurate, deadlines are met, and communication flows effectively between the field and office. Duties Assist Project Managers with the coordination and administration of active construction projects Help assemble and track monthly owner pay applications and supporting documentation Collect and organize subcontractor pay applications and related backup materials Maintain and update project documentation including schedules of values, logs, and reports Track and manage Requests for Information (RFIs) including distribution and follow-up Log, track, and distribute submittals and approved materials to the project team and field staff Assist in maintaining change order logs and gathering subcontractor pricing documentation Coordinate subcontract documentation including agreements, insurance certificates, and compliance paperwork Maintain organized digital project files and documentation in company systems (e.g., Buildertrend or similar software) Assist in preparing and distributing meeting agendas and meeting minutes for project meetings (OAC meetings, internal meetings, etc.) Support communication between Project Managers, Superintendents, subcontractors, and clients to ensure information flows efficiently Track project deadlines and assist the team in ensuring required documentation is submitted on time Assist with general project reporting and documentation to support project oversight and financial tracking Proactively identify documentation gaps or missing information and follow up with responsible parties Requirements Degree in Construction Management, Engineering, Architecture, Business, or related field, or equivalent applicable experience in the construction industry 0-3+ years of experience in construction, project coordination, project administration, or a related role (entry-level candidates will be considered) Basic familiarity with construction project documentation such as RFIs, submittals, pay applications, and change orders is a plus Experience with Microsoft Office (Excel, Word, Outlook) required Some exposure to Microsoft Project, Procore, Buildertrend, or other construction management software is preferred Experience with Bluebeam for document review and markup is a plus Strong organizational skills and ability to manage multiple tasks simultaneously High attention to detail and ability to maintain accurate documentation Strong written and verbal communication skills Ability to work collaboratively with project managers, field staff, subcontractors, and clients Self-motivated with a willingness to learn and grow within the construction industry This is an excellent opportunity for someone looking to grow within the construction industry while gaining exposure to all phases of project management.
