This position is responsible for providing support to the Operations Manager on a variety of fiscal and administrative support functions, to ensure smooth and efficient daily operations of clinic sites. Supports administrative and clinical operational excellence initiatives, including the implementation of new systems, applications and procedures. Works with Site Managers, Clinical Operations, Operations Manager and Human Resources to ensure appropriate staffing at medical sites. Update FTE spreadsheets as needed for monitoring accuracy and updates and/or review reports from HRIS system to continually assess staffing ratios. Maintains and/or oversees the maintenance of all assigned reports, audits, and documentation, and reports findings to Operations Manager on a weekly basis. Hold master copies for all competency forms as they are developed; updating the form as new or old tasks are removed from SM job scope Site level data analysis for the Operations team Reviewing/Monitor monthly and quarterly PPH tracking spreadsheets and assists with training when onboarding new managers/leads. Monitor completion of CSS collection audits - copay and outstanding balance. Track trends and work with operations managers to set goals for staff. Assist billing/charge processors by monitoring eligibility errors and presenting trends to ops managers to work with site managers and their front office staff. Also assists with closing out fiscal year end by monitoring appointments kept without charges. Monthly report tracking-Ensure SM are working assigned reports and presents trends to ops manager Monitor and routinely follow up with SM on site Doc Interim lists. Work with ops managers to ensure site outreach is performed to establish assignment of all patients post provider transitions. Perform organization wide GFE audit monthly/quarterly/annually. Centralize the operational assessment data for former/future operational assessment. Takes lead, organizes and tracks work progress of facility issues/projects delegated by the Operations Manager. Serve as Site Manager at assigned location(s), as needed. Provides both administrative support to the Site Manager with the day-to-day activities of the facility. Acts as a liaison between employees and management when necessary. Assists with facilitating patient care, Quality Assurance and Risk Management initiatives and quality management activities by assuring staff participation in quality improvement, utilization review, and risk management related activities.Participates in community activities to:
Identify and communicate community services/resources available to AHC patients so that they can utilize and support. To represent AHC in the community and to communicate the mission and goals of the health center. Works in collaboration with Site Managers. Has a working understanding of the Site Manager role, covering as Interim Site Manager when needed. Assists in staffing by re-arranging staff to ensure that all sites have adequate daily coverage. Makes recommendations for changes to the clinic to the Site Manager and Operations Manager. Works with the individual Site Managers if changes are implemented to provide any training materials but is not responsible for the implementation or training of the staff. Follows up and communicates with Site Manager to ensure implementation is followed through and troubleshoots any issues that may arise. Develop, correct, and implement processes. Works collaboratively with the Operations Manager to audit and improves existing workflows and implements new workflows and stays consistently focused on process improvement. Follows up on reports and ensures the proper reports are being worked at the site level on a routine basis. Work with Site Managers to ensure new processes stay in places following implementation. Establish a strong working relationship with Health Information and providers to build workflows, implement new processes and advocate for the needs of the site. Report back to the Operations Manager on the efficiency, effectiveness and any barriers on reporting and processes. Provides overall recommendations to improve patient experience. Works with Site Management to identify non-compliance. Investigates and recommends necessary actions to correct. Performs routine site visits to check in with Site Managers and staff (frequent travel, at times will be overnight). Lead and motivate staff to ensure a high standard of professionalism, efficiency, and effectiveness in the delivery of patient focused services at all times.Required Training & Experience:
Possesses a current CPR certification. Word, Excel, and PowerPoint Electronic Health Records system Possesses a current State of Michigan driver's license and valid automobile insurance.We're Here For You:
