Job Overview We are seeking a dynamic and detail-oriented Project Manager Coordinator (Construction) to join our team and drive the successful execution of construction projects from inception to completion. In this role, you will serve as a vital link between project teams, contractors, and clients, ensuring seamless coordination, efficient scheduling, and adherence to project specifications.
Responsibilities:
Support Planning, Coordination, and Execution of commercial construction projects from Design, Preconstruction, Construction, and Closeout. Follow existing systems and processes to manage and maintain all project related documents in appropriate project folders. Assist with preparation of Project Budget/Schedule of Values in Excel. Maintain and track Project Budgets to include all project costs (Architect, Design, Construction, Vendors, Suppliers, Change Orders, Addendums, etc.) and backup. Utilize company templates to prepare Contracts, Purchase Orders, Budgets, Change Orders, Invoices, etc.) Receive, verify, and obtain PM approval of contract and vendor billings then record in QuickBooks and save invoice to project file. Assist Financial Director with monthly Client Billings on AIA pay form. Obtain and provide additional support for project billings (waivers, lien releases, etc.). Coordinate with Contractor and Architect in preparing Closeout Documents to meet Client/End User requirements. Issue final set(s) of Closeout Documents in electronic and/or hard copy as requested by Client. Establish new vendor setup in QuickBooks (W9, COI, Tax Status). Schedule Teams Calls, prepare/distribute minutes, and follow-up as needed. Pay project permit and other jurisdictional fees online as directed by PM.
Administrative Job Responsibilities:
Provide general administrative support to President and Project Manager. Prepare Marketing Presentations and Brochures as requested. Undertake project tasks/assignments as required. Serve as Contact for company website. Submit credit applications to establish payment terms with select vendors. Field all incoming calls and respond in a professional manner to inquiries.
Essential Skills and Qualifications:
Excellent written, verbal and electronic communication skills to interact with team members, clients, and project staff. Proficient in Microsoft Office Software (Excel, Word, PowerPoint), Microsoft Office 365, and Teams. Advanced level in PDF Editing and Excel Formulas, Functions, and Cell References is required . Ability to adapt to changes in processes, assignments and deadlines. Strong organizational, administrative, and time management skills to multi-task, prioritize, and manage multiple projects simultaneously. Accuracy and attention to detail is critical in maintaining budgets, schedules, and recording QuickBooks transactions (Purchase Orders, Billings, Invoices). Strong organization skills with a track record of successfully managing multiple projects, priorities, and deadlines.

The position is bonus eligible based on the Company's year-end results, payable in December, if employed and in good standing at the time of bonus distribution. Vacation requests are to be in writing in advance and approved by the Finance Director. For the first twelve (12) months, Vacation accrues monthly. On the one- year anniversary, two weeks of vacation are available. Vacation days do not carry over from year to year. Vacation days are to be taken in one-week increments, Monday-Friday.
Pay:
$58,000.00 - $66,000.00 per year
