Job Description

Overview Established landscape construction company seeking a highly organized and dependable Office Coordinator / Administrative Assistant with prior experience in landscaping, construction, excavation, hardscaping, roofing, HVAC, plumbing, or another trade-service environment. This is a fast-paced operations role supporting daily field activities, scheduling, customer communication, project coordination, and office administration.
IMPORTANT
Applicants without prior construction, landscaping, or trade-service office experience will not be considered. Responsibilities Coordinate daily schedules for crews, projects, and appointments Answer phones and communicate with customers professionally Assist with estimates, proposals, invoicing, and job documentation Coordinate with vendors, subcontractors, and suppliers Maintain project files, permits, contracts, and work orders Track job progress and assist with office operations Support management with administrative and organizational tasks Handles data entry, emails, spreadsheets, and scheduling Assist with customer follow-up and project communication Help maintain an organized and efficient office environment Qualifications Strong organizational and multitasking skills Ability to work in a fast-paced construction environment Excellent communication and customer service skills Comfortable coordinating with field crews and project managers Proficient with computers, email, and Microsoft Office/Google Workspace Experience with QuickBooks, Jobber, LMN, Aspire, Buildertrand, or similar software is a plus Self-motivated, dependable, and detail-oriented.

Compensation:
Competitive pay based on experience.
