Job Description:
Construction Project Coordinator Position Summary:
We are seeking a highly organized and detail-oriented Construction Project Coordinator to support the successful execution of new construction, remodel, renovation, and capital improvement projects across a multi-site retail operation. This individual will work closely with the Head of Construction and serve as a key liaison between contractors, vendors, architects, engineers, and internal stakeholders to ensure projects are completed on time, within budget, and according to company standards. This role is ideal for someone with strong project management, coordination, and administrative experience within construction, facilities, engineering, architecture, real estate development, or a related field. Hands-on construction experience is not required; however, candidates should understand the construction project lifecycle and possess the ability to effectively organize, track, and manage multiple projects simultaneously.
Key Responsibilities:
Project Management & Coordination Assist in planning, coordinating, and tracking construction projects from inception through completion Manage project schedules, milestones, timelines, and deliverables to ensure projects stay on track Coordinate communication between contractors, subcontractors, architects, engineers, vendors, and internal departments. Monitor project progress and proactively identify potential delays, risks, or issues Track project budgets, commitments, change orders, invoices, and project expenditures Support project closeout activities, including punch lists, final documentation, and warranty information Maintain project status reports and provide regular updates to leadership Construction Administration Organize and maintain project files, contracts, permits, drawings, specifications, and related documentation Assist with contractor bidding processes, proposal reviews, and vendor onboarding Coordinate permit applications, inspections, and compliance documentation Review and process invoices, purchase orders, and payment applications Track contracts, insurance certificates, lien waivers, and vendor documentation Ensure all project documentation is accurate, complete, and properly archived Organization & Process Management Develop and maintain project tracking systems and reporting tools Coordinate meetings, project calls, and follow-up action items Prepare project summaries, presentations, and executive reports Manage multiple projects simultaneously while maintaining attention to detail and meeting deadlines Establish and improve administrative processes that increase project efficiency and visibility Stakeholder Communication Serve as a primary point of contact for project-related communication Build positive working relationships with contractors, consultants, vendors, and internal teams Communicate project status, challenges, and solutions clearly and professionally Escalate issues appropriately and assist in driving resolution Qualifications 3+ years of project management, project coordination, construction administration, facilities administration, or related experience Strong organizational and time management skills with the ability to manage multiple projects simultaneously Experience coordinating project schedules, documentation, budgets, and stakeholder communications Proficiency with Microsoft Office Suite, including Excel, Word, Outlook, and PowerPoint Excellent written and verbal communication skills Strong attention to detail and follow-through Preferred Experience supporting construction, facilities, real estate development, architecture, engineering, or capital improvement projects Familiarity with construction terminology, project phases, permitting, contractor management, and project documentation Experience working with project management software such as Procore, Buildertrend, Smartsheet, Microsoft Project, Monday.com, Asana, or similar platforms Associate's or Bachelor's degree in Business Administration, Construction Management, Project Management, Engineering, Architecture, Real Estate, or a related field

They understand how construction projects come together, can effectively manage documentation and schedules, and excel at coordinating multiple stakeholders. This person does not need to be a construction expert or have hands-on field experience but should possess strong administrative, organizational, and project management capabilities with a solid understanding of the construction process
