Job Description

Full-time position. Job Summary The Production Manager is responsible for coordinating insulation jobs from the time they are scheduled through final closeout. This role works closely with the owner, office staff, crew leads, installers, suppliers, and customers to make sure each job is properly planned, supplied, completed, documented, and closed out. This is a hands-on coordination and operations role. The right person will be comfortable working in the office, communicating with customers, checking job paperwork, coordinating with crews, and visiting jobsites when needed. Responsibilities Review approved quotes, contracts, photos, drawings, and customer notes before jobs begin. Create and review clear work orders so crews know the job location, scope, materials, special instructions, and customer expectations. Confirm crews know the job location, start time, work order details, site contact, and jobsite requirements before dispatch. Make sure material, accessories, PPE, tools, equipment, and jobsite protection supplies are ready before each job. Manage job scheduling, crew readiness, customer confirmations, and jobsite access details. Coordinate daily crew check-ins and collect progress updates, photos, issues, material usage, and completion notes. Track job expenses, including materials, labor, equipment, travel, jobsite costs, and approved change orders. Compare estimated job costs to actual job costs and flag jobs that are over budget or need review. Manage inventory by tracking quantity on hand, material reserved for upcoming jobs, available quantity, reorder needs, supplier information, and damaged or missing items. Visit jobsites as needed to confirm work matches the approved scope, review job progress, and support crews with questions or issues. Perform end-of-job walkthroughs with crew leads before customer walkthroughs. Complete customer walkthroughs professionally, document concerns, collect photos, and request customer sign-off when appropriate. Prepare end-of-job closeout packets with product documentation, photos, job expenses, labor information, change orders, customer sign-off, warranty documents if needed, and invoice-ready notes. Review payroll information, confirm hours by employee and job, and submit accurate payroll details for approval. Maintain organized job folders and communicate completed jobs, open jobs, delays, material needs, customer issues, and financial concerns to the owner. What We Are Looking For Strong organization skills and the ability to manage multiple jobs, crews, and deadlines at the same time. Clear and professional communication with customers, crew members, suppliers, office staff, and ownership. Ability to read and understand quotes, job scopes, work orders, notes, photos, and basic construction documents. Comfortable holding crews accountable while maintaining a respectful and team-oriented work environment. Detail-oriented approach to paperwork, job costs, payroll hours, material tracking, photos, and closeout documents. Problem-solving mindset and ability to handle schedule changes, customer questions, material shortages, and jobsite issues calmly. Basic computer skills, including email, spreadsheets, digital files, job photos, and job tracking documents. Valid driver's license and reliable transportation for local jobsite visits. Ability to safely walk active jobsites, unfinished construction areas, stairs, and uneven surfaces as needed. Willingness to learn insulation production details, including spray foam, fiberglass batts, blown insulation, product data sheets, material usage, and jobsite preparation. Preferred Experience Construction, insulation, spray foam, fiberglass, roofing, HVAC, remodeling, or trade-related experience. Experience supervising crews, dispatching field teams, or coordinating subcontractors. Experience with inventory, purchasing, job costing, payroll review, or production scheduling. Experience with customer communication, walkthroughs, punch lists, change orders, or job closeout documentation. Knowledge of job site safety, PPE, ladders, lifts, construction equipment, or material handling. Schedule and Work Environment Typical schedule is Monday-Friday with early morning crew dispatch/check-ins. Occasional overtime, early starts, later days, or weekend coordination may be needed depending on job schedules. Work is performed in an office/shop setting and on active jobsites. This position requires regular communication by phone, text, email, and in person. Pay and Benefits Pay is based on experience and qualifications.
