Job Overview :
We are seeking a motivated and organized Administrative Assistant to join our team. This role is critical to ensuring smooth installation operations, effective job tracking in our CRM system and assisting in the hiring process. The position typically requires 3-5 days per week in the office, with a hybrid work structure combining in-office and remote work, although some weeks may require additional days based on business needs.
Key Responsibilities :
Operate as the customer contact after a sale is made. Scheduling post sale measures, installations and service work. Keep customers in the loop on timelines and any discrepancies from schedule. Post job openings, screen applicants and schedule interviews for recruitment. Take credit card payments Email closing documents at start of install for financed customers Coordinate with project manager and installers to ensure schedule accuracy. Print documentation packages for measures and installs. Own the customer board to ensure jobs are accurately entered and updated daily in the CRM or project management system based on their stage: Sales, Measure, Materials Ordered, Materials Received, Installation Scheduled, and Installation Complete. Verify job statuses to support operational workflows and reporting. Ensure payments are collected promptly after job completion. Handle additional administrative or assistant duties as needed.
Qualifications :
Proven experience in office administration, operations coordination, preferably in construction or home improvement industries. Excellent communication and customer service skills. Proficiency in CRM or project management software (e.g., ServiceMinder, CompanyCam, One Click Contractor) Strong organizational skills and attention to detail. Familiarity with job tracking processes (e.g., sales-to-installation workflows). Comfort using remote work tools and ability to work independently. Proficient in Excel and Google Sheets. Ability to use technology and assist others in using. Ability to handle sensitive data (e.g., employee pay, client information) securely. High school diploma or equivalent required; associate's or bachelor's degree in business, accounting, or a related field preferred.
Hybrid Work Structure :
This position is hybrid, with a combination of in-office and remote work. The role typically requires up to 3-5 days per week in the office with flexibility to perform some tasks remotely and others in the office in Douglas, GA.
