ASSISTANT TO CONSTRUCTION MANAGERS & CONTRACT COORDINATOR
Seeking a detail-oriented Assistant to manage daily office operations and support project workflows. Responsibilities include coordinating and organizing bid documents, processing contracts, and ensuring compliance across all commercial and residential projects. The ideal candidate is highly organized, proactive, and capable of handling multiple priorities in a fast-paced environment Our company is a well-established, family-owned business based in Johnston, Rhode Island. The company specializes in structural demolition and asbestos abatement, delivering safe, compliant, and efficient services across a wide range of projects throughout New England. Our company is known for a high volume of work, including complex, multi-million-dollar projects. Despite its scale and success, the company maintains a close-knit, small-office environment that values teamwork, reliability, and professionalism.
    Office Administration:
    Manages daily office operations, answers phone systems, orders supplies, and manages calendars for management.
    • Strong attention to detail with the ability to multitask in a fast-paced environment is a priority.

    • This is crucial, as errors in bidding or contracts can be costly.
    Software Familiarity:
    Mention specifically your use of the following (e.g., QuickBooks, Excel, Procore, Bid Connected, BidNet Direct, etc.)—knowledge of using a blueprint plotter. Solid experience with MS Office and basic accounting principles is necessary.
    • Bookkeeping support: Assist with various accounting operations.
    Ad-hoc Support:
    Provide general clerical support as needed.
    • 3+ years of experience in administrative roles (Construction industry preferred).
    • Bi-lingual in Spanish and English is a plus.
    Record Management:
    Maintain accurate project files (digital and physical) and update client/vendor databases.
      Bid Management:
      Organize bid folders, verify proposal requirements, and process subcontractor quotes.
        Bidding/Preconstruction:
        Track bid advertisements, print plans, solicit quotes from general contractors/ vendors/ subcontractors, and compile bid packages for submission.
          Contractual Compliance:
          Prepare and process subcontracts, ensure signatures are obtained, apply and collect insurance documentation, and apply for mandatory state and federal documentation.
          • Highly organized with excellent verbal/written communication skills.
          • Reliable and able to work with minimal supervision.
