Exempt/Salary Position Summary The On-Site Manager is responsible for the overall leadership, performance, and execution of Epic Personnel Partners' workforce program at a client location. This role oversees all on-site operations, including workforce management, client relationship ownership, safety compliance, and coordination with Epic's branch operations. Unlike a traditional warehouse management role, the On-Site Manager is responsible for managing the working relationship between three key groups: The client's operational leadership Epic Personnel Partners' internal branch team Epic associates assigned to the client site Success in this role requires balancing client expectations, workforce performance, and internal operations to ensure consistent service delivery, operational efficiency, and program growth. The On-Site Manager is ultimately responsible for how the client experiences Epic at the worksite. Core Responsibilities Client Relationship Management Serve as the primary point of contact for the client and maintain strong, professional relationships with client leadership. Lead ongoing communication with the client regarding staffing performance, workforce needs, and operational updates. Ensure client expectations, processes, policies, and service standards are clearly understood and consistently met. Proactively identify opportunities to improve service delivery, increase headcount, and expand business. Address and resolve escalated client concerns in a timely and professional manner. Workforce Operations Management Oversee all on-site workforce operations to ensure proper staffing levels aligned with client demand. Monitor attendance, turnover, and workforce performance to maintain operational stability. Partner with the branch team to ensure open orders are filled with quality candidates in a timely manner. Ensure associates are properly onboarded, trained, and aligned with job expectations. Drive workforce retention initiatives to maintain a stable and productive workforce. Team Leadership & Development Lead, coach, and develop On-Site Supervisors and Coordinators. Set clear expectations for performance, accountability, and communication across the on-site team. Conduct regular team meetings, performance reviews, and coaching sessions. Hold team members accountable for execution of responsibilities and service standards. Delegate tasks effectively and ensure completion to standard. Safety & Compliance Ensure all safety protocols and procedures are consistently followed. Maintain a strong presence on the warehouse floor to monitor safety and associate performance. Partner with Epic's safety team to reduce workplace incidents and ensure compliance. Oversee incident investigations and ensure proper documentation and reporting. Ensure all required safety training and certifications are completed. Oversee and support the certification of associates on Material Handling Equipment (MHE) in accordance with company and client requirements. Ensure all certifications are properly documented and communicated to the branch team in a timely and accurate manner. Hold on-site team members accountable for maintaining accurate certification records and compliance documentation. Workforce Management & Documentation Track and analyze key workforce data including attendance, turnover, and performance trends. Maintain accurate records of associate performance, attendance, and work history. Conduct regular audits of workforce documentation and compliance records. Provide feedback to the branch office regarding associate performance and placement quality. Compile workforce data and assist with reporting or trend analysis when requested. Oversee weekly payroll processes and timekeeping accuracy for both associates and on-site staff. Ensure all time and attendance data is accurate, complete, and submitted in a timely manner. Partner with the branch office to resolve payroll discrepancies and ensure proper reporting. IRV-1 Operational Performance & Reporting Track and analyze key performance metrics, including attendance, turnover, fill rate, and safety incidents. Provide regular reporting to Epic leadership and the client as required. Identify trends and implement solutions to improve operational performance. Communication & Coordination Maintain strong communication with the branch office to align on recruiting efforts and staffing needs. Ensure clear communication between client leadership, Epic leadership, and on-site staff. Provide direction and updates to the on-site team to ensure alignment and execution. Risk Management & Problem Resolution Identify operational risks and address issues that may impact service, safety, or client satisfaction. Resolve complex workforce issues, escalations, and team conflicts. Support handling of unemployment claims, workers' compensation claims, and investigations as needed. Core Competencies Successful On-Site Managers demonstrate: Strong leadership and team development skills Excellent client relationship management abilities High levels of organization and operational discipline Consistent follow-through and accountability Excellent problem-solving abilities to address unexpected situations or delays, ensuring workflow continuity and keeping tasks on track to meet expected deadlines Ability to manage multiple priorities in a fast-paced environment Strong business and operational acumen Commitment to safety, compliance, and service excellence Ability to influence and communicate effectively at all levels Minimum Requirements High school diploma or equivalent required (Bachelor's degree preferred) 3+ years of experience in staffing, warehouse operations, or workforce management Previous leadership or management experience required Strong organizational, communication, and leadership skills Ability to manage both client relationships and workforce operations Bilingual in English and Spanish preferred, but not required Technology & Systems Proficiency in: Microsoft Office (Outlook, Teams, Word, Excel) Timekeeping and workforce management systems (e.g., AMG, Novatime, Bullhorn Time & Expense) Applicant tracking systems (e.g., Avionte/Bold, JobDiva, Bullhorn) Work Environment This role operates primarily within a warehouse or distribution center environment and may involve: Exposure to varying temperatures including cold and hot conditions Working in a fast-paced operational environment Interaction with warehouse equipment and active production areas Physical Requirements Ability to lift up to 50 pounds when necessary Must be comfortable working in a warehouse environment, including walking and standing for more than 70% of the workday. This role requires a strong presence on the warehouse floor and is not a fully desk-based position.
