Full-Time Job Summary The Project Administrator plays a key role in supporting the project superintendent by managing site documentation, tracking workforce attendance, assisting with material coordination, and facilitating daily reporting. This position requires strong organizational skills, attention to detail, and the ability to communicate effectively with various stakeholders. The Project Administrator ensures smooth day-to-day operations by keeping accurate records and assisting in project logistics.
Key Responsibilities:
Timekeeping and Attendance Management:
Facilitate the daily sign-in and sign-out process for workers onsite. Enter timecards into the system for the superintendent's approval. Maintain an attendance tracking spreadsheet to monitor habitual absences and tardiness. Draft disciplinary write-ups as requested by the superintendent. Collect and file time-off requests and maintain the site calendar to track employee requests for time off.
Daily Reporting & Production Tracking:
Collect daily progress updates from team leaders. Enter daily production data into the project work plan/lookahead to assist the superintendent in adjusting the work plan for the following day. Enter daily production quantities into the production tracking system based on progress updates. Use the superintendent's work plan/lookahead to draft a daily field report detailing tasks in progress, expected completion of tasks, and record each task's production quantities. Update and maintain the completed work log, including onsite personnel and hours worked. Maintain and update the equipment log to track the usage and operating hours of heavy equipment. Prepare the draft daily report for review by the superintendent, who will finalize it with key site events, conversations, and workflow constraints. Submit the finalized Brite daily report and a duplicate report to the general contractor or adapt the report to their format if required.
Site Logistics & Support:
Operate a shuttle vehicle to transport workers between the off-site parking lot and the worksite. Maintain cleanliness and organization of the project trailer.
Qualifications:
Previous experience in construction coordination, administration, or logistics preferred. Strong organizational skills and attention to detail. Proficiency in Microsoft Office Suite (Excel, Word, Outlook, Project) and project management software. Ability to communicate effectively with field teams, management, and external stakeholders. Valid driver's license required (for shuttle operation). Ability to work in a fast-paced construction environment and adapt to changing priorities. Basic understanding of construction materials and processes is a plus.
Work Environment & Schedule:
Full-time, site-based role at an active construction project. Work hours align with site operations and may include occasional overtime. Requires mobility to navigate the site and assist with various logistical tasks.
