Job Description
Core Responsibilities1. Invoicing & Payment Tracking (Priority) Generate and send invoices using Jobber Ensure invoices match approved scope and pricing Track unpaid invoices and flag overdue accounts Assist with basic collections follow-up 2. Phone & Customer Communication Answer incoming calls professionally Qualify leads and gather basic project information Direct calls or messages to owner as needed 3. Consultation Scheduling Schedule estimate appointments Coordinate calendar between customers and owner Confirm appointments and send reminders 4. Email Management Monitor and respond to general inbox Organize and route important messages Maintain clear communication with customers 5. Social Media Management Create and post content (Facebook, Instagram, etc.) Upload project photos and basic captions Maintain consistent posting schedule Assist with simple marketing tasks 6. Employee Onboarding & Payroll Support Assist with new hire paperwork and onboarding setup Maintain employee records Help process payroll (hours tracking, coordination with owner/QuickBooks) 7. Project Manager Support (Materials & Admin) Assist PM with sourcing materials and pricing Help organize orders and vendor communication Track and organize receipts and expenses Daily Workflow (Typical Day) Answer calls and respond to emails Schedule new consultations Prepare and send invoices Post or schedule social media content Assist PM with material lookups or admin tasks Requirements Strong organization and attention to detail Comfortable with technology (Jobber, email, social media, QuickBooks) Good communication skills (phone + written) Ability to multitask and stay on track Reliable and consistent What This Role Is NOT Not responsible for estimating or pricing jobs Not managing crews or running projects Not making financial decisions Success in This Role Looks Like Calls are answered and leads are captured Schedule stays organized and full Invoices go out quickly and accurately Social media stays active and consistent PM and owner spend less time on admin tasks Schedule Monday
- Thursday 7:30 AM
- 12:30 PM (5-hour shift) 20 hours per week Payroll Flex Requirement Payroll is typically processed on Thursdays On weeks where the crew works Friday (due to weather or schedule changes): Thursday becomes a normal half-day (7:30 AM

THIS POSITITION MAY TURN INTO OPTIONAL FULL TIME AT HIGHER PAY RATE
Pay:
$18,000.00- $24,000.
