Position Summary The Bid Coordinator supports the estimating and preconstruction team by managing the administrative, technical, and coordination aspects of the bid process for mechanical construction projects. This role is responsible for maintaining bid schedules, preparing bid documentation, coordinating with subcontractors and vendors, and ensuring timely, accurate, and compliant proposal submissions. The Bid Coordinator plays a critical role in enabling the successful pursuit of profitable mechanical construction work within our Underground / Site Utility division.
Location:
Cypress, CA Key Responsibilities Provide administrative and coordination support to the estimating team, ensuring efficient bid operations. Manage bid intake and document control across platforms (e.g., BuildingConnected, SmartBid), including downloading, organizing, and maintaining current drawings, specifications, and addenda. Maintain bid schedules, calendars, and tracking logs to ensure visibility of all active and upcoming opportunities. Assist in estimate preparation, including quantity take-offs, data entry, pricing support, and maintaining estimating systems/databases (PlanSwift, Bid2Win). Prepare and compile bid documentation, including bid forms, prequalification packages, cover letters, and scope clarifications. Coordinate bid review processes, including setting up Bluebeam Sessions, tracking scope reviews, and scheduling meetings and job walks. Support subcontractor/vendor outreach by issuing bid invitations, tracking quotes, and following up to ensure timely coverage. Review project requirements (e.g., bonds, insurance, prevailing wage) and ensure compliance within bid submissions. Track RFIs, addenda, and key deadlines to ensure timely communication and complete bid packages. Support post-bid and award activities, including reporting, bid result tracking, and project turnover coordination. Qualifications High school diploma, GED, or equivalent. Bachelor's degree in Construction Management, Mechanical Engineering, Business Administrative, or related field preferred. 1+ years of administrative or office experience in a professional environment, with a strong attention to detail in relation to documentation and filing. Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook, Teams). Experience or familiarity with Bluebeam or similar document a plus. Strong communication and interpersonal skills across all levels of an organization. Experience with construction project delivery methods (Design-Bid-Build, Design-Build), construction administration, or estimating support a plus. Physical Requirements Prolonged periods of sitting at a desk. Must be able to lift up to 15 pounds at times. Must have sufficient visual acuity to read printed and digital documents.
