  • Full-time Barnum and Tenny Body shop is looking for a Body Shop Office Assistant / Estimator to work in our Fast-paced, customer-focused auto body repair facility specializing in collision repair, painting, and detailing.
We pride ourselves on quality workmanship, transparent communication, and getting vehicles back on the road quickly. Position Summary We are seeking a detail-oriented and personable Body Shop Estimator / Office Assistant to join our front-office team. This dual-role position combines accurate estimate writing with efficient office administration, serving as the primary point of contact for customers, insurance adjusters, and vendors. The ideal candidate thrives in a high-energy environment, excels at multitasking, and is passionate about delivering exceptional service. Key Responsibilities
  • Estimating & Technical Duties
  • Inspect damaged vehicles (in-person and via photos) to assess repair needs.
  • Write precise, professional estimates.
  • Identify necessary parts, labor hours, paint materials, and sublet services.
  • Coordinate with technicians to verify repair plans and timelines.
  • Negotiate supplements with insurance companies as needed.
  • Answer inbound phone calls promptly and professionally; route calls and take detailed messages.
  • Greet walk-in customers, schedule appointments, and provide status updates on repairs.
  • Explain estimates, repair processes, and costs clearly to clients (in-person, phone, email).
  • Manage customer expectations and resolve concerns with empathy and efficiency.
  • Maintain accurate digital and paper files.
  • Process payments, issue invoices, and handle basic bookkeeping tasks.
  • Order parts and track deliveries; follow up with suppliers.
  • Keep the front office organized, stocked, and presentable. Qualifications Required
  • 2+ years of experience in auto body estimating
  • or•front-office automotive administration.
  • Strong working knowledge of vehicle construction, repair methods, or willing to learn.
  • Excellent verbal and written communication skills; bilingual (English/Spanish) a plus.
  • Intermediate MS Office / Google Workspace skills; comfortable learning new software quickly.
  • Valid driver's license and clean driving record. Skills & Attributes
  • Exceptional attention to detail and mathematical aptitude.
  • Ability to remain calm under pressure and juggle multiple priorities.
  • Professional demeanor with a genuine desire to help customers.
  • Team player willing to assist technicians or detailers during peak times. Physical Requirements
  • Ability to stand/walk for extended periods and navigate the shop floor safely.
  • Occasional lifting of up to 25 lbs (parts catalogs, files, etc.).
  • Comfortable working around vehicles in various stages of repair. Schedule & Compensation
  • Full-time:
    Monday-Friday, 7:30 AM
  • 5:30 PM.
  • Competitive hourly pay commensurate with experience + performance bonuses.
