Salary Summary The Estimator Assistant supports the Estimator in producing accurate, detailed, and timely estimates for custom home projects. This role is ideal for a highly organized, detail-oriented individual with a background in residential construction or engineering, paired with strong analytical and spreadsheet skills. The Estimator Assistant is responsible for material takeoffs, maintaining pricing databases, preparing work orders, and ensuring estimates reflect real-world job costs. Success in this role requires precision, strong communication, and a genuine curiosity about how homes are built. Duties and Responsibilities Assist the Estimator in preparing detailed, accurate material takeoffs and estimates using PlanSwift, Excel, and company calculators Build, maintain, and audit estimating spreadsheets and formulas, ensuring calculations for framing, drywall, trim, siding, roofing, and other phases remain accurate and up to date Maintain the master pricing database for materials, labor rates, and subcontractor costs, updating entries as vendors change pricing and flagging significant movement to the Estimator Prepare work orders and scopes of work with correct specifications, quantities, and site details for review and approval by the Estimator Solicit and organize quotes from suppliers and subcontractors, tracking bids in a standardized format for easy comparison Track estimate-to-actual variances across active jobs, identifying recurring overages or material waste and reporting findings to the Estimator and CEO Review invoices and purchase orders for proper classification, quantity accuracy, and pricing against agreed rates Coordinate with Project Managers on material returns, leftover inventory, and reallocation of surplus materials between jobsites Support the Estimator in managing subcontractor contracts, W-9s, insurance certificates, and contact information Assist in preparing quarterly reports for NAHB and other vendor rebate or discount programs Cross-check plans, specs, and selections for consistency before estimates are finalized, catching discrepancies before they reach the field Attend weekly meetings with Project Managers and Interior Designers to understand active job status and anticipate upcoming estimating needs Communicate professionally with subcontractors, vendors, and internal team members via email, phone, and text Other duties as assigned by the Estimator Requirements Minimum of 2 years experience in residential construction, estimating, or a related engineering field Associate's or Bachelor's degree in Construction Management, Civil Engineering, or a related field preferred Advanced proficiency in Microsoft Excel, including formulas, lookups, pivot tables, and spreadsheet design Familiarity with PlanSwift or similar digital takeoff software, or demonstrated ability to learn quickly Working knowledge of residential construction materials, methods, and terminology Strong organizational skills with the ability to manage multiple estimates and deadlines simultaneously Exceptional attention to detail, with a track record of producing error-free work Excellent written and verbal communication skills for collaboration with internal team members, subcontractors, and vendors Analytical mindset with the ability to identify patterns, discrepancies, and cost-saving opportunities in data Proficient in Microsoft Office Suite Self-motivated, able to work independently, and comfortable asking questions when specifications are unclear
