We have built a strong local reputation through quality products, upscale showrooms, experienced teams, and a commitment to taking care of our customers. The Installation Coordinator is responsible for driving sold flooring projects from contract through completion. This role owns the coordination between customers, sales, warehouse, operations, and installers to ensure projects are scheduled, prepared, executed, and completed to All American Flooring standards. This is not a passive scheduling role. We are looking for someone who wants to build better systems, improve processes, solve problems before they become customer issues, and take ownership of the installation experience. The right candidate is organized, ambitious, accountable, and comfortable managing multiple moving parts in a fast-paced environment. This person should think like an operator: protecting timelines, customer satisfaction, installer productivity, and job quality every day. Key Responsibilities Own the coordination of sold flooring projects from contract to completion, ensuring jobs move efficiently through scheduling, preparation, installation, and closeout. Manage installation schedules with urgency and accuracy, balancing customer needs, installer availability, job complexity, material readiness, and company priorities. Assign installers based on skill set, availability, project type, location, and job requirements to maximize quality and productivity. Confirm job readiness before scheduling, including materials, work orders, measurements, customer expectations, installation details, and required documentation. Maintain accurate, real-time project information in company systems so sales, warehouse, operations, and leadership have clear visibility. Communicate proactively with customers, installers, sales, warehouse, and operations to prevent confusion, delays, and missed expectations. Identify scheduling conflicts, job risks, material issues, missing information, or customer concerns early and drive resolution. Ensure scope changes, schedule changes, and customer requests are documented, communicated, and approved when needed. Follow up on installation progress, job completion, punch-list items, installer feedback, and customer concerns. Escalate issues quickly and professionally when timelines, quality, customer satisfaction, or profitability are at risk. Help create a more disciplined, scalable, and customer-focused installation operation as the company continues to grow.
The ideal candidate will be:
Highly organized and detail-oriented Ambitious, proactive, and eager to grow Comfortable with accountability and daily pressure Strong at communication and follow-through Able to manage conflict without becoming emotional or defensive Fast-moving but accurate Process-minded and willing to improve broken systems Customer-focused without losing control of the schedule Comfortable working with installers, salespeople, warehouse teams, and customers Interested in building a long-term career inside a growing company What Success Looks Like Success in this role means installations are scheduled accurately, jobs are ready before crews arrive, customers are informed, installers are productive, issues are handled quickly, and leadership has clear visibility into project status. A strong Installation Project Coordinator does not just "fill the calendar." They help build a better installation operation. Qualifications 2+ years of experience in flooring, construction coordination, or project scheduling RFMS or Asana software experience is preferred Strong organizational and time management skills Ability to manage multiple projects and deadlines simultaneously Excellent communication and interpersonal skills High attention to detail and problem-solving ability Proficiency in CRM systems, project management tools, Microsoft Office, and/or G suite Ability to work both independently and collaboratively Bilingual (Spanish) preferred

$60,000.00 - $70,000.00 per year
