Administrative Assistant - Windows & Doors Trusten Windows & Doors Mesa, AZ Full-Time | In-Office About Us Trusten Windows & Doors is a family-owned residential window and door replacement company serving the Greater Phoenix area. We are committed to providing homeowners with exceptional products, professional installation, and outstanding customer service. As our company continues to grow, we are seeking a highly organized and customer-focused Administrative Assistant to join our team. Position Summary The Administrative Assistant will serve as a key member of our office team, helping manage day-to-day operations, customer communications, scheduling, invoicing, and CRM management. The ideal candidate is detail-oriented, computer savvy, professional, and has experience within the residential window and door replacement industry. Responsibilities Manage and maintain company schedules and appointment calendars Update and organize customer information within our CRM system Follow up with customers regarding appointments, proposals, installations, and service requests Prepare and send proposals, contracts, and customer communications Generate invoices and collect customer payments Answer incoming calls, emails, and website inquiries Coordinate with sales staff, installers, suppliers, and customers Track project progress and ensure customer files remain up to date Assist with permit documentation, ordering, and general office administration Deliver exceptional customer service throughout the customer journey Qualifications Previous administrative or office management experience required Experience in the residential window and door replacement industry strongly preferred Excellent customer service and communication skills Strong computer skills and ability to learn new software quickly Experience with CRM systems, Microsoft Office, Google Workspace, and scheduling software Highly organized with strong attention to detail Ability to multitask and prioritize in a fast-paced environment Professional appearance and positive attitude Reliable transportation and punctuality Preferred Experience Residential replacement windows and doors Home improvement, construction, or remodeling industry Customer relationship management (CRM) software Proposal generation and invoicing Scheduling and project coordination What We Offer Competitive pay based on experience Stable, full-time position Growth opportunities within a rapidly growing company Supportive family-owned business environment Opportunity to help homeowners improve their homes while working with a great team If you are organized, customer-focused, and have experience in the window and door industry, we would love to hear from you.
