GREENCITY
design is a high-end landscape design + build company based in Hoboken, NJ. We've been executing luxury residential projects: patios,decks, green roofs, outdoor kitchens, custom planting, across the tri-state area since 2014. We're a small, tight team that does exceptional work and moves fast. We're hiring a Design Procurement & Client Liaison Coordinator to work directly with the founder. This person takes four critical tasks off the principal's plate: product procurement, material boards, plant list coordination, and client communication on design and material selections. This is not an entry-level role. We need someone with enough design and construction background to work independently, communicate confidently with clients, and manage suppliers without being hand-held.
WHAT YOU'LL DO PRODUCT PROCUREMENT
Source materials and products across active projects: get quotes, confirm lead times, track orders, coordinate delivery with the field team. You execute once decisions are made; final selection always routes through the principal.
MATERIAL BOARDS
Build clear, client-ready material boards (digital) presenting 2-3 curated options per category (planters, pavers, decking, railing, lighting, countertop, cabinetry, etc.) for principal review before client presentation.
PLANT LIST COORDINATION
Receive plant selections from our AutoCAD designer, organize into a formatted plant list, confirm availability with suppliers, and coordinate pickup/delivery logistics so the field team has what they need.
CLIENT DESIGN LIAISON
Serve as the primary point of contact for clients on design and material questions. Draft responses and communications for principal review. Keep clients informed, confident, and moving, without letting anything stall.
MULTI-PROJECT TRACKING
Maintain visibility across 3-5 active jobs simultaneously. Nothing falls through the cracks. Open decisions get flagged. Deadlines get hit. Occasional on-site visits are welcome but not required.
YOU HAVE
3+ years in landscape design, construction, architecture, or a related field — you understand materials, lead times, and how projects move Experience communicating directly with clients: you're polished, professional, and don't panic under pressure Procurement or sourcing experience: you've dealt with vendors, gotten quotes, tracked orders Strong written communication: you can draft a client-facing email without being told word-for-word what to say Ability to build clean, organized material boards or product summaries (Canva, Google Slides, PDF tool flexible) Detail-oriented with a real system for tracking multiple open items across projects Self-starter who can work independently and bring things to 90% before looping in the principal
NICE TO HAVE
Background in landscape design OR interior design, both translate directly to this role. Material boards, client liaison, and procurement are the same skill set; the exterior product knowledge is learnable Existing supplier relationships in NJ/NY landscape, hardscape, or outdoor living markets or interior markets with transferable vendor management experience Familiarity with outdoor materials: plant material, Ipe, composite decking, porcelain pavers, cable railing, outdoor kitchen systems, or a strong ability to learn quickly Genuine interest in the exterior/outdoor living space if coming from an interior background Basic SketchUp, AutoCAD or design software familiarity: not required Comfortable learning JobTread (our project management platform)
