ASSISTANT COMMUNITY MANAGER

Job Purpose:
The Assistant Community Manager's primary responsibility is to assist the Community Manager with the general day-to-day operation of the community and perform all related accounting and administrative functions. Reports to the Community Manager.
Hours:
Mon-Fri 9:00 am to 6:00 pm, Saturdays required on a rotating schedule 9:00 am to 4:00 pm
Job Responsibilities:
Assist in collection of rent payments. Deposit all money by end of each day. Update all received on a daily basis in the property management software. Welcome and show community to prospective residents. Assist in answering incoming phone calls with enthusiasm and handle accordingly. Complete all lease paperwork and send out to applicants, including related addendums. Maintain resident, vendor and general office files. Complete a weekly traffic summary report. Work with Community Manager to inspect move-outs and vacancies. Complete dispositions for residents after move out. Issue appropriate collection notices when necessary. Complete all paperwork to file evictions when necessary. Assist in ordering supplies within established budgeted guidelines. Learn and adhere to all federal, state and local laws, as well as all policies and procedures contained in the manuals issued by the corporate office or as otherwise communicated (verbally or in writing) to on-site employees. Maintain courteous communication with prospective residents, applicants and residents. Assist in with communications to residents, including any communication necessary to target residents throughout their lease period. Accept service requests from residents and route to maintenance for prompt processing. Ensure the leasing office, fitness center, clubhouse, models and "market ready" vacant apartments are in perfect condition. Ensure maximum effort to set appointments for viewing apartments to all telephone prospects. Participate in a follow-up program to maintain timely and effective communications with all prospects in a method that will result in their signing a lease. Resident Relations Welcome and show property to prospective residents, qualify, determine needs and preferences, professionally present community and specific apartments while providing features and benefits that result in the standards for closing ratios. Accept service requests from residents and route to maintenance for prompt processing. Correctly complete all lease applications, assist with application verification and notify prospective resident of results. Be aware of Curtin Property Company's goal relative to resident satisfaction and resident retention and ensure that you do your part toward meeting them. Assist in planning social events. Leasing and Property Management Complete all lease paperwork, including related addendums. Maintain and supervise a lease renewal program following the property and management company guidelines and goals. Ensure that the office, fitness center, clubhouse, models and "market ready" vacants are in perfect condition. Contact cleaning service if additional cleaning is required. Physically inspect property when on grounds, pick up litter and report any service needs to maintenance staff. Inspect move-outs and vacancies when Community Manager is unable. Play an active role in turnover scheduling
  • schedule appropriate vendors during make-ready process.
Take part in weekly office sales meetings to review property activity. Participate in generation of Weekly Traffic Report and be able to complete Weekly Traffic Report in absence of Community Manager. Accept responsibility for property in absence of Community Manager. Any and all other duties as assigned.
