Job Description

General Description:
The Assistant Title Officer (ATO) provides administrative, technical, and customer service support to the Title Department within a Title and Escrow company. This entry-level position is responsible for maintaining accurate title files and records, processing basic revisions and affidavits, calculating rates using established schedules, and assisting with recording and policy updates. The Assistant Title Officer works both independently and under the guidance of Title Officers and supervisors, collaborating closely with internal teams, including Escrow. This position requires strong communication skills, attention to detail, reliability, confidentiality, and basic computer proficiency, including Microsoft Office.
Duties & Responsibilities:
Provide customer support by answering incoming calls, responding to email requests, and routing inquiries appropriately Perform clerical duties, including scanning, copying, and organizing electronic and physical files Provide product pricing information, including TRID quotes Assist the Escrow Department with Title-Only requests, including refreshing rates promptly Perform basic revisions such as tax updates and loan amount changes Use rate schedules to calculate title policies, endorsements, and guarantees, confirming accuracy Assist with recording documents and updating title policies Review and process basic affidavits, including Affidavits of Heirship (AHA) and Personal Identity Affidavits (PIA) Maintain accurate files, records, and office reports in accordance with company procedures Examine and interpret county and public resources such as tax statements, assessor data, court records, and historical documents, with emphasis on Kitsap County properties Assist Title Officers in examining and interpreting real estate documents, including deeds, deeds of trust, assignments, reconveyances, subdivision maps, assessor parcel maps, and moderately complex legal descriptions Follow established title practices related to the issuance of title commitments, policies, endorsements, and guarantees Build foundational relationships with underwriters and underwriting resources Utilize industry resources to independently research questions, including the WLTA Manual, examiner manuals, and underwriter portals Participate in cross-training initiatives to support business needs and departmental goals Communicate effectively and professionally with customers, coworkers, and external partners Adhere strictly to confidentiality requirements and company procedures regarding disclosure of title file information Support alignment with company values, including service, integrity, teamwork, trust, accountability, and profitability
Skills/Qualifications:
Strong computer aptitude with working knowledge of Microsoft Office Suite Strong attention to detail, analytical, organizational, and problem-solving skills Effective time management and organizational skills Ability to work well in a team environment Dependable, responsible, and detail-oriented Title, Escrow, Real Estate, or Legal experience a plus Demonstrated honesty, integrity, and respect for confidentiality PNWT Benefits PNWT offers employees a comprehensive benefits package, as outlined below. Vacation Leave (Full-time employees) - Vacation time accrues based on length of service and begins accruing after 90 days of employment. Vacation hours are front-loaded annually, starting at 12 days per year with additional days added based on seniority. Paid Holidays - PNWT provides nine (9) paid holidays each calendar year. Bereavement Leave - Full-time employees are eligible for up to 3 days of paid leave due to the death of an immediate family member. Jury Duty Leave - Full-time employees are eligible for up to 7 days of paid leave per calendar year for jury service.
Pay:
$20.00 - $27.00 per hour
